Salary: $25.64 per hour Catholic Charities of Baltimore is currently seeking an HR Coordinator , who will support the effective operation of the Human Resources department by coordinating HR transactions, maintaining accurate and confidential employee records, supporting onboarding and compliance tracking, and serving as a first point of contact for routine employee HR questions. This role helps ensure timely, accurate, and consistent HR service delivery while supporting employee experience, regulatory compliance, and the organization’s ability to meet workforce and operational needs. The work schedule is Monday–Friday, 8:00a.m. – 4:00p.m., with a hybrid work schedule of three in-office days and two remote workdays. JOB DUTIES & RESPONSIBILITIES: Maintains accurate, timely, and confidential HR data and employment transactions in HR systems, including new hires, transfers, job classification changes, salary changes, payroll deductions, terminations, and other employment updates, to support reliable employee records, payroll accuracy, and compliance reporting. Serves as the first point of contact for routine employee HR questions, including policy interpretation, benefits enrollment, hiring processes, UKG access, onboarding requirements, and general HR procedures; resolves standard inquiries accurately and escalates complex matters to the appropriate HR staff or leader to ensure responsive and consistent employee support. Coordinates and tracks pre-onboarding requirements for new hires and interns, including follow-up communications, completion of required documents, MSDE background check tracking, schedule confirmation with supervisors, and status reporting, to support a complete, timely, and well-communicated onboarding experience. Supports employee relations intake by receiving initial concerns, conducting intake discussions, gathering relevant information, maintaining documentation, and escalating matters to the appropriate HR Business Partner to promote timely review and appropriate follow-up. Maintains employee personnel, medical, disciplinary, I-9, and other HR records in accordance with documentation standards, confidentiality requirements, and retention expectations to ensure records are complete, accurate, and audit-ready. Conducts periodic audits of HR files, records, and required employment documentation, including Motor Vehicle Records, required medical screening, I-9 forms, and other regulatory requirements, to identify gaps and support ongoing compliance. Processes and tracks assigned HR programs and employee documentation, including referral bonuses, sign-on bonuses, Employee Emergency Fund requests, MSDE Employment History Review Forms, and other HR transactions, to ensure timely completion, accurate tracking, and consistent administration. Processes and tracks First Reports of Injury and maintains OSHA reporting documentation to support workplace injury reporting, risk management, and regulatory compliance. Compiles and provides required HR documentation for unemployment claims, risk management matters, legal requests, and external agency audits to support timely, accurate, and complete responses. Creates employee photo badges and completes assigned HR administrative tasks to support employee identification, access, and operational needs. Performs other duties as assigned to support HR Operations and organizational needs. EDUCATION & EXPERIENCE REQUIREMENTS: Associate degree in Human Resources, Business Administration, a related field, or equivalent combination of education, training, and related experience. Two (2) years of related experience in administrative support, human resources, customer service, office coordination, or a similar role. Working knowledge of confidential recordkeeping, HRIS or similar data systems, and employee-facing administrative processes, typically gained through related administrative, human resources, customer service, office coordination, or similar experience. REQUIRED SKILLS & ABILITIES: Strong organizational skills and attention to detail, with the ability to manage multiple priorities, maintain accurate records, and support timely completion of HR transactions, follow-up items, and deadlines. Strong verbal and written communication skills, including active listening, professional judgment, and the ability to convey HR information clearly and accurately to employees, leaders, and HR colleagues. Sound judgment and initiative, with the ability to work independently within established procedures, seek guidance when appropriate, and follow through on assigned responsibilities with minimal supervision. High degree of discretion, confidentiality, tact, and professionalism when handling employee information, HR documentation, and sensitive workplace matters. Proficiency with HR systems, standard computer applications, web-based tools, and Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and OneDrive, with the ability to enter data, maintain records, track information, prepare documents, and support HR workflow needs. PHYSICAL REQUIREMENTS & WORK ENVIRONMENT: Hybrid work options are available, contingent upon business needs and performance expectations in alignment with the Agency’s policy. Remaining in a stationary position, which may involve standing or sitting for extended periods, as required to complete tasks or duties associated with the role. Adjusting or moving objects up to 20 pounds in all directions, which may include lifting, carrying, pushing, pulling, or repositioning items as necessary to perform job duties. Engaging in communication with others to exchange information, which may involve speaking, listening, writing, or using electronic communication methods to ensure clear and effective understanding. This includes both verbal and non-verbal interactions with colleagues, clients, or external parties. Repetitive motions involving the wrists, hands, and/or fingers, including tasks such as typing, data entry, or handling small objects. These repetitive activities may occur throughout the workday and require attention to ergonomics to ensure comfort and minimize strain. Assessing the accuracy, neatness, and completeness of assigned work to ensure it meets quality standards and adheres to established guidelines. Hearing and vision abilities, with or without correction, sufficient to drive safely and effectively observe and communicate with others.
