Job Description The College of Arts & Sciences has an outstanding opportunity for an HR Operations & Recruitment Manager to join their team. About this Opportunity Reporting to the Director of Personnel Services, the HR Operations & Recruitment Manager provides centralized administrative support for the College's staff recruitment, records management, reporting, and approval processes. The position serves as a key resource for departments, centers, and college leadership by ensuring personnel actions, records, and faculty processes are managed accurately, efficiently, and in compliance with University policies. This is an excellent opportunity for an HR professional who enjoys variety, partnership, and applying HR expertise across multiple employee groups in a complex academic environment. This role is located on the Seattle campus and operates on a Monday through Friday, 8:00 AM to 5:00 PM schedule. While primarily onsite, the position may offer up to two remote workdays per week. Key Responsibilities Staff Recruiting 30% Manage and coordinate recruitment processes for college-supported staff positions when vacancies occur (roughly 120 positions) Lead recruitment support for centers and cohort managed academic units when vacancies occur (roughly 150 positions) Serve as a recruiting resource for departments across the college by providing guidance on hiring processes, policies, and best practices. Develop and deliver training and support materials related to recruitment procedures and systems. Assist departments in navigating hiring workflows and ensuring compliance with institutional requirements. Records Management & Documentation 20% Serve as the primary administrator for processing, maintaining, and uploading college personnel and administrative records within DocFinity. Manage records related to appointment letters, resignations, retentions, reviews, and other employment-related documentation. Coordinate with Records Management and university partners to establish, modify, and maintain record classifications and retention requirements. Develop and maintain documentation, procedures, and training resources related to records management and DocFinity usage. Ensure records are accurately maintained, organized, and compliant with university policies and retention standards. Interfolio Administration 20% Serve as the primary administrator for Interfolio processes, with designated backup support as needed. Manage and maintain college-wide Interfolio templates and workflow configurations. Generate reports and tracking tools for College Council and leadership regarding promotion and review activities. Monitor case progress and ensure cases are created accurately and routed to the appropriate dean or reviewer at each stage. Download, archive, and close completed cases and ensure final documents are appropriately uploaded to DocFinity. Develop and maintain documentation and process guides related to Interfolio workflows and procedures. Workday Approval Administration 15% Manage and coordinate Workday approval workflows on behalf of the deans. Review transactions for completeness and accuracy prior to routing or approval. Monitor approval queues and ensure timely processing of personnel and administrative actions. Serve as a resource for departments regarding Workday approval requirements and processes. Reporting & Data Management 10% Serve as the primary point of contact for routine college reporting and data requests. Develop, run, and distribute recurring Workday reports for departments, college leadership, and administrative partners. Prepare annual and ad hoc reports related to hiring, separations, workforce metrics, and other personnel data. Analyze and validate data to ensure accuracy, consistency, and compliance with reporting requirements. Respond to departmental and leadership requests for workforce and organizational data. Develop reporting processes and documentation to improve efficiency and consistency in data delivery. Minimum Qualifications Bachelor's degree. Two years of professional experience in human resources or related fields, Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Department. Additional Qualifications Experience synthesizing diverse data sources to develop personnel and policy/procedural recommendations. Ability to communicate complex ideas to audiences that are not human resources experts. Demonstrated problem-solving skills. The team advances the University's teaching, research, and service missions by facilitating recruitment, retention, promotion, personnel administration, records compliance, and workforce reporting. This position works closely with staff, departmental leadership, and faculty to ensure effective and compliant workforce administration across the College.
