Role: Project Coordinator – Data Center Deployment

Location: Sydney / CBD (hybrid WFH + office)

Engagement: 12‑month contract, strong possibility of extension and potential perm (not guaranteed)

About the role

We’re building out a network of 25+ data centers and need experienced Project Coordinators to support senior Project Managers on large‑scale infrastructure deployments inside live technical buildings. You’ll sit at the heart of the program, keeping schedules, budgets, sub‑vendors and contractor admin under control, with light customer/stakeholder exposure but no full PM ownership.

Key responsibilities

• Support one or more Project Managers across multiple data center sites, acting as their operational right hand.
• Coordinate resource scheduling (internal teams and contractors), ensuring the right people are in the right place at the right time.
• Assist with budgeting and cost tracking: maintaining cost trackers, processing sub‑vendor variations, flagging variances, and supporting forecast vs actuals reporting.
• Manage contractor time‑keeping and related documentation (timesheets, approvals, change records).
• Maintain project documentation and trackers (RAID logs, deliverables matrices, status reports) across a portfolio of sites.
• Work inside new data center buildings as required to understand work in progress, access constraints, and on‑site realities.
• Participate in project meetings (internal and customer‑facing), providing accurate status updates and following through on actions.
• Collaborate with PMs, technical teams, sub‑vendors and customers to keep communication clear and issues escalated early.

Must‑have experience

• 8–10+ years as a Project Coordinator / Project Support Officer / Project Administrator in data centers or similar telco‑grade technical facilities.
• Proven experience supporting Project Managers on infrastructure deployments: cabling, hardware installation, network/IT fit‑out, or telco equipment builds.
• Hands‑on background in multi‑site programs (several sites/phases running concurrently), not just single‑project environments.
• Comfortable working with budgets, cost trackers and sub‑vendor variations, even if not the ultimate budget owner.
• Strong documentation discipline: trackers, logs, minutes, follow‑ups, and configuration of basic tools (Excel, Smartsheet, MS Project or similar)
