Role and Responsibilities As the initial point of contact with new clients, the Intake Specialist plays a vital role in the Firm’s legal operations. This role requires exceptional communication skills, empathy, and professionalism. The Intake Specialist will gather essential information, build rapport with new clients, and ensure a smooth transition into the Firm’s case management pipeline Responsibilities will include: Serve as the initial point of contact with new clients via phone and email inquiries. Conduct thorough intake interviews to collect relevant facts related to the client’s case. Explain the Firm’s services, intake process, and next steps clearly and professionally. Accurately document all case related facts, supporting evidence, and keep all information organized throughout the onboarding process. Enter intake data into the Firm’s case management system (CMS) timely, accurately, and efficiently. Ensure clients feel supported, informed, and valued throughout the intake process. Work closely with attorneys, paralegals, and legal assistants to transition cases smoothly. Additional duties as assigned. Desired Skills and Qualifications The successful candidate should have the following qualifications: Proficient in English (oral and written); bilingual (English/Spanish or other language) beneficial. Proficient inquiry and active listening skills. Effective communication skills and demonstrated ability to engage with empathy. Familiarity with legal and/or medical terminology. High attention to detail and accuracy. Good organizational and multi-tasking abilities. Problem-solving skills. Ability to stay calm and employ compassion when speaking with emotional individuals. Education and Experience Three (3) years of experience in a customer-service focused role at a law firm or call center. Ability to manage high call volumes and multitask in a fast-paced environment. Experience with legal case management systems (CMS) (e.g., Litify, Needles). High School diploma or equivalent required; additional qualifications beneficial. Experience with Microsoft Office applications, specifically Outlook, Word, Excel, and PowerPoint.
