Integration Coordinator Department: Integrations & Strategic Initiatives Reports To: Vice President, Integrations & Strategic Initiatives Position Type: Full-Time Employment Level: Corporate Location: Remote; candidates located near Vasco (NE Ohio) or Nidy (Central Florida) operating locations are preferred but not required. Travel: May require up to 50% travel depending on acquisition activity and integration needs. Position Summary The Integration Coordinator will work directly with the Vice President of Integrations & Strategic Initiatives to support the planning, coordination, and execution of acquisition integrations across the organization. This role is designed to serve as an extension of the VP of Integrations & Strategic Initiatives and provide continuity across multiple active integrations as business priorities shift. In a growing acquisition environment, leadership attention may need to move quickly between active integrations, upcoming transactions, and other strategic initiatives. The Integration Coordinator will help ensure existing integrations continue progressing during those transitions. The Coordinator will develop a strong working knowledge of each active integration and gradually take ownership of established workstreams and activities. As responsibilities are transitioned, this individual will coordinate stakeholders, follow up on deliverables, drive outstanding items toward completion, resolve routine issues, and escalate matters requiring leadership involvement. This is a highly cross-functional role with exposure to nearly every area of the business, including regular interaction with functional leaders, senior leadership, and executives. The position provides a unique opportunity to develop a broad understanding of how acquisitions are integrated, how different areas of a business operate, and how strategic and operational decisions are carried through to execution. Key Responsibilities Integration Execution & Continuity Maintain a strong understanding of active integrations, including current status, priorities, outstanding items, owners, dependencies, and next steps. Take ownership of established integration activities and workstreams transitioned by the VP of Integrations & Strategic Initiatives. Maintain momentum on active integrations when leadership attention shifts to another acquisition, transaction, or strategic priority. Coordinate directly with functional leaders and acquired-company personnel to move integration activities toward completion. Independently manage routine integration matters within established plans and processes. Identify stalled, overdue, or at-risk activities and proactively follow up with the appropriate stakeholders. Escalate risks, roadblocks, and decisions requiring leadership involvement. Provide concise updates highlighting progress, outstanding priorities, risks, and decisions needed. Ensure commitments and decisions made throughout an integration are followed through to completion. Integration Planning & Project Coordination Support the development and maintenance of integration plans, timelines, transition workflows, checklists, and milestones. Translate meetings and leadership decisions into clearly defined actions, owners, and deadlines. Coordinate activities across Accounting, Finance, HR, Payroll, IT, Operations, Sales, Marketing, Legal, and other functional teams. Monitor dependencies between workstreams and identify activities that could impact broader integration timelines. Coordinate meetings, follow-ups, information requests, and stakeholder communication necessary to keep integrations moving. Support transition planning, Day 1 readiness, system implementations, and post-close integration activities. Maintain organized and accurate project documentation across multiple simultaneous acquisitions. Acquisition & Transition Support Assist with gathering operational, financial, employee, technology, vendor, customer, fleet, and other information required throughout the integration process. Organize incomplete or unstructured information into clear and actionable integration activities. Coordinate information requests between corporate teams and acquired-company personnel. Support system and process transitions across acquired businesses. Assist with communications, training coordination, vendor transitions, employee transitions, and other integration initiatives. Help prepare acquired businesses and internal teams for upcoming process, system, and organizational changes. Support integration planning activities as new acquisitions move toward closing and transition into execution. Process Documentation & Continuous Improvement Document current-state and future-state business processes. Develop and maintain transition workflows, SOPs, checklists, process documentation, and training materials. Capture decisions, challenges, and lessons learned throughout each integration. Help continuously improve the organization’s integration playbook and standard approach to future acquisitions. Maintain documentation that allows responsibilities to be efficiently transitioned or handed off as priorities change. Identify opportunities to improve integration processes, communication, tracking, and overall execution. Cross-Functional Exposure The Integration Coordinator will gain broad exposure to integration activities involving: Accounting, AP, AR, treasury, and financial reporting HR, payroll, benefits, and employee onboarding ERP and financial system implementation Estimating and job management systems CRM and sales processes IT infrastructure, cybersecurity, email, and user access Fleet, fuel cards, telematics, and equipment Operational processes and reporting Marketing, websites, branding, and communications Vendor and customer transitions Legal entity and administrative transitions The Integration Coordinator is not expected to be the technical expert in each functional area. Instead, the role requires enough understanding of each workstream to connect the appropriate stakeholders, maintain accountability, identify issues, understand dependencies, and drive established activities forward. Because integrations span the organization, this position will also have opportunities to work directly with functional leaders, senior leadership, and executives. This exposure will provide insight into both the strategic decisions behind acquisitions and the operational work required to successfully integrate acquired businesses. What Success Looks Like Success means active integrations continue moving forward even when priorities shift or new acquisition activity requires leadership attention elsewhere. The Integration Coordinator should become a dependable second point of ownership across the integration portfolio and develop the ability to quickly understand: Where each integration currently stands What has been completed and what remains outstanding Who owns each open item What the team is waiting on What can be moved forward independently What is falling behind or creating risk What requires leadership involvement What needs to happen next Over time, the Coordinator should require less direction on established integration activities and become increasingly capable of independently driving workstreams through completion. The goal is not simply to track tasks, but to understand the purpose behind the work, maintain accountability across stakeholders, anticipate next steps, and ensure integration activities continue progressing from planning through completion. Qualifications Bachelor’s degree in Business Administration, Finance, Accounting, Operations, Project Management, or a related field preferred. 1–3 years of experience in project coordination, operations, business administration, finance, accounting, consulting, or a related field preferred. Exceptional organizational and follow-through skills. Ability to manage multiple projects, stakeholders, and competing priorities simultaneously. Strong written and verbal communication skills. Comfortable communicating and following up with individuals at all levels of an organization. Ability to work independently once objectives and expectations are established. Strong judgment regarding when to independently move an item forward and when leadership involvement is required. Ability to quickly learn unfamiliar business processes, systems, and terminology. Strong attention to detail and documentation. Ability to turn incomplete or unstructured information into organized action items. Proficiency with Microsoft Excel, Outlook, PowerPoint, and Microsoft 365. Experience with project management or workflow tools is a plus. Ability and willingness to travel up to 50% as needed to acquired-company locations, corporate offices, and other business locations to support integration activities, system implementations, training, and transition initiatives. Travel requirements will vary depending on acquisition activity and integration needs. Previous experience with acquisitions, integrations, construction, field services, or multi-location businesses is helpful but not required. Ideal Candidate The ideal candidate is proactive, highly organized, curious, adaptable, and comfortable taking ownership. This individual should enjoy learning how different parts of a business operate and be comfortable moving between accounting, HR, technology, operations, sales, and other functions depending on the needs of an integration. The successful candidate will not simply track tasks. They will seek to understand what needs to happen and why, follow up with the appropriate people, maintain momentum across established workstreams, and recognize when an issue requires escalation. They should also be comfortable operating in an environment where priorities can change quickly. A workstream that is a primary focus one week may need to continue with less direct leadership involvement the next as attention shifts toward another acquisition or strategic priority. As experience and capabilities develop, the Integration Coordinator will have opportunities to: Take increasing ownership of integration workstreams. Independently manage established portions of larger integrations. Gain exposure to earlier stages of the acquisition process and integration planning. Participate in planning for upcoming acquisitions and transitions. Develop deeper knowledge across functional areas and business systems. Work directly with functional leaders, senior leadership, and executives. Eventually coordinate smaller or less complex integrations with increasing independence.
