The Relocation Associate serves transferees, clients, third party vendors, and internal departments by analysing and processing relocation-related benefits, executing the best options and providing accurate and dependable information regarding the transferee’s relocation. Reports to the Counselor on providing the services and benefits of the client’s relocation policy. Also negotiates conflicts in resolving transferee issues and other service problems using Associate’s independent judgement and discretion.
Essential Duties & Responsibilities:
- Enter and process expenses associated with an international permanent transfer and/or assignment into the core processing system (CARICS). Processing includes converting expenses into multiple currencies.
- Authorise expenditures on behalf of the Company related to the relocation of a transferee.
- Exercise independent discretion in discerning the needs of a transferee and meeting the transportation needs of the transferee while maintaining positive customer relations and maximising the use of resources available to the Company.
- Assist transferees by answering policy specific questions regarding their relocation process and explain the benefits provided by and the forms required by the transferee’s employer.
- Maintain transferee records by updating information and required documentation in both the hard file and the core processing system (CARICS).
- Initiate relocation services in the core processing system (CARICS) and with service providers for our transferees.
- Maintain weekly contact with transferee and assist them in maximising their benefits.
- Establish a respectful and sincere relationship with the transferee, service providers, and the client.
- Communicate the necessity of the required documents and provide guidance on how they are to be completed. Enter the information from the required documents into the core processing system (CARICS) once received from the transferee.
- Accurately document any home finding trips or offers in order to process applicable client benefits.
- Process expense reimbursements by analysing, troubleshooting, and approving transferee-submitted expense reports.
Position Requirements & Qualifications:
- Ability to work in a fast-paced environment with minimal supervision and regular attendance.
- Strong verbal & written communication with the ability to present information and respond to all levels of an organisation both internally and externally.
- Individual must present themselves positively and professionally and maintain a strong work ethic.
- Multi-task multiple projects with excellent organisational skills and ability to meet critical time deadlines.
- Above-average language skills with the ability to read, analyse and interpret with reasoning ability skills and flexible thinking. Ability to interpret technical instructions in either mathematical or diagram form.
- Mathematical Skills with ability to calculate figures and amounts such as discounts, proportions, and percentages.
- Strong organisational skills and the ability to handle multiple projects and meet critical time deadlines are crucial to this position.
- Higher mental skills including but not limited to concentration, care and detail are high, while endurance and perceptiveness are also necessary.
- Ability to learn and retain all necessary policy, relocation, and real estate knowledge as needed for success
- High customer service model and proficient conflict resolution is essential
- This position is not eligible for 100% remote capabilities and is required to have face-to-face interactions with colleagues and be on-site at WHR office in Basel (BS).
Education & Experience:
- Associates or bachelor’s degree in applicable field is preferred or experience in relocation industry.
- Fluent English proficiency (written & verbal) is required
- Fluency in Japanese is preferred.
This position is hybrid and must be able to report to Basel, BS office three times per week.
