Job Description This is a remote position. Position Title: Junior PropertyTree / Vault CRM Specialist Work Set-up: Work From Home Working Schedule: Monday to Friday| 7:00 AM- 4PM PHT Holiday: AU- VIC Salary: PHP 33,000–34,000 JOB DESCRIPTION FOR A JUNIOR PROPERTYTREE / VAULT CRM SPECIALIST Position Purpose The Junior PropertyTree & Vault Data Entry Specialist will have a minimum of 2 years' experience and will play a critical back-office operational role. This position is responsible for accurate, efficient, and timely entry and maintenance of real estate properties, listings, buyer profiles, contact databases, and transactional records within PropertyTree and Vault CRM. Working in direct sync with the Melbourne team, this role ensures seamless database integrity and administrative compliance. Your Responsibilities as a Junior PropertyTree / Vault CRM Specialist would be: Real Estate Listing Management Create, update, and manage property listing records across PropertyTree and Vault CRM platforms. Upload property features, images, floor plans, description texts, vendor details, and pricing structures accurately. Ensure property portal push feeds (e.g., Realestate.com.au, Domain) operate cleanly with validated property data. Buyer & Contact Data Entry Input new buyer leads, open home attendees, and prospective tenant profiles into Vault CRM daily. Tag and categorize contacts based on buying criteria, preferred suburbs, budget ranges, and property preferences. Maintain clean database records by eliminating duplicates and updating changed contact information. PropertyTree Administration: Assist with property profile setup, owner records, and tenant details in PropertyTree. Log tenancy agreements, lease terms, rent schedules, and property inspection data accurately. Support routine administrative workflow processing within PropertyTree to ensure operational continuity. Vault CRM Maintenance: Update pipeline statuses for active buyers, vendors, and properties. Set up contact reminder tasks and match active buyer profiles to newly listed properties. Extract standard reports on buyer activity, lead sources, and listing performance as requested. Data Quality & Compliance Perform regular database audits to ensure 100% data integrity and consistency. Adhere strictly to data security guidelines and privacy policies. Qualifications as a Junior PropertyTree / Vault CRM Specialist would be: Platform Proficiency: Proven exposure or practical experience of 2 years using PropertyTree and/or Vault CRM in a real estate setting. Real Estate Knowledge: Familiarity with Australian real estate terminology, listing formats, and buyer journey concepts. Data Entry Skills: High typing speed with meticulous accuracy and exceptional attention to detail. Language & Communication: Strong written English comprehension to parse listing copy and buyer feedback accurately. Technical Setup: Reliable high-speed internet connection, dedicated quiet remote workstation, and dual-monitor setup (recommended). Work Ethic: Highly organized, process-driven, capable of managing repetitive tasks with high concentration. Key Performance Indicators (KPIs) Data Accuracy Rate: 99%+ accuracy across property details, pricing, contact numbers, and listing attributes. Turnaround Time: New buyer entries and property updates processed within 2–4 hours of receipt. Database Integrity: Zero duplicate entries created; proactive detection and merging of existing duplicates.
