Legal & Financial Operations Specialist
Remote | International / Work From Anywhere | Project-Based Opportunity
We’re looking for an experienced Legal & Financial Operations Specialist to support a project involving contracts, billing, financial operations, compliance, and sensitive business information.
This is a hands-on operational role, not a general administrative or virtual assistant position. We’re looking for someone who can step into an existing environment, understand the processes quickly, take ownership of their responsibilities, and execute with a high level of accuracy, discretion, and independence.
The right person will already have meaningful experience working with contracts, billing/accounting processes, financial records, compliance, or related operational functions. This is not a role where you’ll need to be taught the fundamentals — we need someone who knows how to get the work done and can use good judgment when things aren't straightforward.
What You’ll Be Doing
Contract & Legal Operations
- Manage and maintain client, vendor, and business agreements.
- Track contract terms, renewals, amendments, payment obligations, and important deadlines.
- Maintain accurate and organized contract documentation.
- Coordinate contract-related processes and ensure documentation is complete.
- Identify potential issues, inconsistencies, or risks and escalate them appropriately.
Billing & Financial Operations
- Manage recurring billing and invoicing processes.
- Track invoices, payments, and accounts receivable.
- Reconcile billing and financial records and identify discrepancies.
- Maintain accurate financial and operational records.
- Support reporting and financial tracking.
- Coordinate with accounting/bookkeeping resources when needed.
Compliance & Confidential Information
- Maintain compliance-related documentation and records.
- Support internal processes and controls.
- Work with sensitive financial, contractual, and business information with a high degree of discretion.
- Ensure processes are documented, organized, and consistently followed.
Operational Ownership
- Own assigned processes from start to finish rather than simply completing individual tasks.
- Work independently and proactively with minimal day-to-day supervision.
- Spot problems and potential risks before they become larger issues.
- Improve processes when you see a better or more efficient way to get something done.
- Communicate clearly when something requires attention, clarification, or a decision.
What We’re Looking For
- 5+ years of relevant professional experience in legal operations, contracts, billing, accounting/financial operations, compliance, or a closely related field.
- Demonstrated experience independently managing operational processes.
- Direct experience with contracts and/or contract administration.
- Direct experience with billing, invoicing, accounts receivable, accounting operations, or financial administration.
- Strong attention to detail and numerical accuracy.
- Experience handling confidential or sensitive information.
- Strong written and spoken English.
- Ability to work independently without requiring step-by-step direction.
- Strong judgment, organization, and follow-through.
- Comfortable working with U.S.-based business processes, clients, or documentation.
Strongly Preferred
- Experience working with a U.S.-based company or clients.
- Background in professional services, legal, consulting, accounting, finance, or another highly regulated/operational environment.
- Experience working across both contracts and financial operations.
- Familiarity with accounting, billing, contract management, or workflow management systems.
- Experience identifying and improving operational processes.
This Role Is Probably Not a Fit If…
- Your experience is primarily as a general administrative assistant or virtual assistant.
- You have limited direct experience with contracts, billing, accounting, finance, or compliance.
- You are looking to learn these areas from scratch.
- You need frequent step-by-step direction to complete your work.
- Your background is primarily in sales, customer service, or general office administration.
- You are more interested in tracking hours/billables than taking ownership of outcomes.
