Job Description:
As an Event Producer, you will create, plan and execute high-profile, multifaceted events on behalf of our clients. Constantly and creatively solution-oriented, an Event Producer plays a critical role in the fabric of our business. Responsibilities include: creative proposals, destination and venue sourcing, vendor sourcing and management, contract negotiations, project timelines, guest and client communications, operational resourcing, production management, flawless planning and execution. Key Responsibilities:
Project Management
- Understanding of scope and actions required to execute a complex, high-budget event from A-Z.
- Collaborate with team members and leadership on the ideation, planning, execution, and closing of any project from initial brief to execution on-site
- Creative development, writing and presentation of event proposals
- Develop and deliver efficiently on thorough project timelines, production schedules, runs of show.
- Prioritize and meet deliverables based on critical project timelines and client expectations
- Delegate tasks and responsibilities to support team members with ability to ensure thorough and prompt completion.
- Responsible for all logistics of assigned events - rooming blocks/lists, arrivals and departures, ground transportation, charter flights, helicopter schedules for staff, vendors and clients.
- Be an active, supportive and positive team member
- Actively participate in team meetings, brainstorms, updates, etc.
- Create and manage detailed event timeline/Run of Show
- Create and Manage event floorplans in collaboration with team members
- Possess strong written and verbal communication skills
- Communication management - clients, guests, vendors, team members, leadership.
Budget Management
- Work with program budgets and control the revenue throughout client programs, working within budgets upwards of $250K - $5M+
- Manage/mitigate third-party costs and expenses
- Work within complex budgets, including multiple currencies
- Update internal financial systems with project expenses
- Reconcile budgets and track expenses
Vendor Management
- Source, negotiate and contract venues and vendors.
- Provide direction, vision and detailed expectations to all vendors
- Develop and actively manage vendor/freelance talent relationships to ensure best available talent and pricing
- Ability to source, brief and manage appropriate vendors with detailed explanation of project vision, requirements and deliverables
- Negotiate vendor services, pricing and concessions
- Review and approve detailed event orders and manifests - a/v, F&B, furniture, floral, fabrication, rooming lists, transportation, air, etc.
- Manage vendor deposit schedules, deposit invoices and final reconciliation
- Manage all communication with vendors
- Manage all aspects of the final delivery, including on-site vendor liaison and management
- Manage event transportation logistics
- Manage food & beverage logistics such as menus, supplies needed, appropriate timing, etc.
Creative Development
- Possess creative insight and knowledge to collaborate with team on client proposals, vision boards and vendor direction.
- Participate in creative brainstorms to enhance all project elements.
- Produce creative proposals and vision boards using CANVA
- Execute the integrity of the creative treatment in all deliverables
- Work with graphic design needs such as event websites, event collateral, etc.
- Curate event gifts
Qualifications:
- College degree and a 3-5+ years of start-to-finish event production and account management, preferably within an agency or or as an Independent Contractor
- Experience in luxury sector, working with budgets $1-5+ million
- Flexibility to travel frequently and work weekends, as needed (travel = ~20-30%)
- Production experience MUST include live events
- In-depth knowledge of technical and logistical aspects of production
- Strong program management, organizational and communication skills
- Confident and engaging communicator and presenter
- Able to excel under tight deadlines, turnaround times and conflicting priorities, while remaining calm under pressure
- Ability to manage multiple, overlapping projects and deliverables
- Ability to build and manage complex budgets
- Highly organized, with flawless attention to detail
- Quick thinking, intuitive and analytical
- Team player
- Experience using Canva, Google Docs, Square Space, Social Tables/Prismm HIGHLY preferred
