Job Title Manager, Facilities Management Requisition JR000015975 Manager, Facilities Management (Open) Location Malvern, PA Additional Locations Job Description Summary This position is responsible for leading maintenance, operations, vendor management, and facility improvement activities at the Malvern, PA facility. The Facilities Manager oversees day-to-day building operations, identifies cost-effective solutions, supports compliance with applicable safety and regulatory requirements, and manages one direct report, the Facilities Coordinator. Job Description Key Responsibilities: • Manage, coach, and develop facilities staff to maintain strong service levels, appropriate staffing coverage, and required safety and technical training. • Oversee maintenance, inspections, repairs, and replacement planning to ensure building systems remain safe, reliable, and cost effective. • Manage contracted vendors and service providers to ensure work quality, scope compliance, safety practices, and adherence to applicable SOPs and building requirements. • Develop annual operating budgets, monitor monthly spend, and prepare capital plans and cost estimates for equipment, furniture, construction, and facility improvement needs. • Lead facility-related projects, including renovations, expansions, equipment installations, and operational improvements that support business needs. • Ensure facility procedures and contractor activities comply with applicable local, state, and federal requirements, including safety, environmental, OSHA, EPA, NRC, and building code standards. • Serve as the primary liaison with the property manager and internal departments on site operations, onboarding, offboarding, access control, and facility support needs. • Maintain accurate records of maintenance schedules, equipment service, inspections, incidents, and other facility activities. • Prepare reports for senior management and perform other duties as assigned based on business needs. Qualifications : Education/Experience • A minimum of 5-10 years of experience in facilities management or a related function, including experience managing vendors and construction or maintenance contractors. Preferred Skills • Excellent verbal and written communication, as well as organization and planning skills. Intermediate skills with Microsoft Office Suite. Ability to learn specific software used in the Facilities department. Essential Requirements • Ability to physically access and inspect facility areas, including mechanical rooms, electrical rooms, boiler rooms, rooftops, and equipment penthouses. • Ability to respond to facility needs during standard business hours and support time-sensitive building or operational issues as needed. • Ability to communicate effectively with employees, vendors, property management, and internal business partners. • Ability to use standard office technology and facilities-related systems to manage records, reports, work orders, and communications. Organizational Relationship/Scope: This position reports directly to the Associate Director, Facilities. Working Conditions: This is a salaried, full-time role of 40 hours per week. Most work is performed in a standard office environment, with occasional access required to electrical rooms, boiler rooms, mechanical rooms, rooftops, and equipment penthouses. Physical Demands: • Ability to sit, stand, walk, bend, reach, climb stairs or ladders, and move through office, mechanical, electrical, boiler, rooftop, and equipment areas as needed to perform facility inspections and support operations. • Ability to occasionally lift, carry, push, or pull items associated with general facilities work, meetings, inspections, or vendor coordination. • Ability to use a computer, phone, and standard office equipment for extended periods to manage communications, documentation, work orders, and reporting.
