About the Role
We are looking for a highly organised, proactive and technically confident External Communications Specialist to join our Media & External Communications team.
This is a hands-on role with a strong focus on communication, email marketing and CRM management, alongside social media, digital content and wider marketing communications. The successful candidate will be responsible for managing email campaigns, broadcasts, databases, segmentation, tagging, automations and campaign performance.
You will also support social media scheduling, content creation and the coordination of wider digital and media campaigns across multiple brands. This role would suit someone who is technically strong, commercially aware and comfortable working with data and marketing performance metrics. You will be expected to understand what happens after an email is sent who opened it, who clicked, what they clicked, how audiences engaged, who opted out and what the data tells us about campaign performance.
You will use these insights to help improve future campaigns, maintain a healthy CRM database and ensure our external communications are effective, relevant and engaging.
You should be confident tracking how audiences interact with campaigns including email opens, clicks, click-through rates, engagement and unsubscribe activity and using this information to identify opportunities for improvement. You will work in a fast-paced environment where taking ownership is essential. We are looking for someone who doesn't simply wait to be told what to do, but actively identifies issues, follows up, asks questions and finds solutions.
Key Responsibilities
- Manage email campaigns and broadcasts through KEAP and GoHighLevel (GHL).
- Prepare, format, test and schedule emails for campaigns, events, launches and promotions.
- Manage email templates, automations and campaign assets.
- Maintain the email marketing and communications calendar.
- Manage CRM contacts, tags, lists and audience segments.
- Maintain accurate and up-to-date contact and database records.
- Manage opt-ins, opt-outs, engaged and unengaged contacts.
- Monitor email engagement and identify opportunities to re-engage inactive or older contacts.
- Support database cleansing and segmentation to improve campaign performance and reduce unnecessary email volume.
- Track and analyse email opens, clicks, click-through rates, engagement, website activity and unsubscribe rates.
- Monitor campaign performance and identify trends, inconsistencies or potential issues.
- Prepare basic email marketing reports and performance statistics.
- Make practical recommendations to improve email engagement and campaign results.
- Test campaigns before sending to ensure links, formatting, content and functionality are working correctly.
- Identify issues proactively and flag them to the relevant team member.
Social Media & Content
- Maintain and schedule social media content across relevant platforms.
- Create and format simple branded content using Canva, Photoshop and AI tools.
- Repurpose existing content into posts, stories, reels and other digital formats.
- Research relevant trends, topics, hashtags and content opportunities.
- Assist with coordinating video, podcast and promotional content for publication.
- Monitor routine social media engagement and escalate important enquiries or issues.
- Maintain organised social media assets and content calendars.
- Support wider digital marketing campaigns as required.
Marketing & Communications Coordination
- Coordinate email and social media activity with events, advertising and media campaigns.
- Ensure external communications align with current and upcoming campaigns and promotions.
- Maintain consistency in brand messaging, tone of voice and communication style.
- Prepare basic reports and statistics relating to email and social media performance.
- Coordinate multiple communication projects and deadlines simultaneously.
- Work closely with the Media Team, AI Manager, Videographer and other relevant team members.
- Assist with wider marketing and communication projects when required.
Systems & Technology
The successful candidate should be confident working with, or have strong experience in:
- KEAP – essential
- GoHighLevel (GHL)
- CRM systems and contact databases
- CRM tagging, segmentation and automation
- Email marketing platforms
- Email analytics and campaign reporting
- Social media scheduling platforms
- Canva and/or Adobe Photoshop
- AI content creation and image-generation tools
The business has an established suite of AI tools and trained AI agents, which the successful candidate will use to support content creation, communications and marketing activity.
Candidate Requirements
- Proven hands-on experience in email marketing and CRM management.
- Strong practical experience using KEAP – essential.
- Experience creating, managing, testing and scheduling email campaigns and broadcasts.
- Strong understanding of email marketing analytics and performance tracking.
- Experience monitoring and interpreting key metrics, including open rates, click-through rates (CTR), email/link clicks, engagement, conversions and unsubscribe rates.
- Experience using campaign performance data to identify trends, problems and opportunities to improve results.
- Understanding of CRM tagging, segmentation, lists and automations.
- Experience managing, maintaining and cleansing contact databases.
- Good working knowledge of GoHighLevel (GHL).
- Excellent written English and communication skills.
- Strong attention to detail and accuracy.
- Excellent organisational and multitasking abilities.
- Strong technical ability and confidence working across multiple platforms and systems.
- Ability to work quickly and accurately in a fast-paced environment.
- Proactive approach to identifying issues, following up and finding solutions.

- Previous social media management experience.
- Canva and/or Adobe Photoshop experience.

Training & Support
Ongoing training and support will be provided. You will work closely with the Media Team, AI Manager, Videographer and senior team members, with access to established online training resources and AI tools.
While training will be available, candidates should already have a strong foundation in email marketing and CRM management, particularly with KEAP, as this will be a key part of the role.
