Salary Range: $90,000.00 To $115,000.00 Annually Job Summary: The Marketing Resource Management, Senior Manager is responsible for managing the flow of work across the marketing department — owning resource casting, load-balancing, and capacity planning to ensure the right talent is matched to each program, campaign, and project. This role maintains the cross-portfolio view of all work flowing through the department, enabling effective prioritization and informed decision-making across Creative and Digital Marketing. This role sources, onboards, and manages vendor and freelancer relationships — building a flexible bench of external partners to extend team capacity when internal resources are at capacity. The Marketing Resource Management, Senior Manager monitors individual utilization and skill development, identifying training needs and growth opportunities that strengthen Creative and Digital Marketing’s overall capability and quality. Additional responsibilities include communicating resource constraints and availability to Program Management and leadership, enabling informed scope and timeline decisions. Based upon department needs, the Marketing Resource Management, Senior Manager may assume responsibilities associated with Program Management to ensure continuity of operations. Key Responsibilities: Resource Casting & Load-Balancing Own resource casting across all programs, campaigns, and projects — matching appropriately skilled internal talent to each engagement based on skill set, availability, and development goals. Maintain the cross-portfolio view of all work flowing through the department, enabling effective prioritization and capacity planning across concurrent engagements. Monitor daily, weekly, and monthly resource allocations — proactively adjusting assignments to resolve over-allocations, bottlenecks, and competing priorities before they impact delivery. Coordinate with Program Management to review work-back schedules, forecast resourcing needs, and determine when external vendor support is required to meet delivery commitments. Vendor & Freelancer Management Source, onboard, and manage vendor and freelancer relationships — building and maintaining a flexible bench of external partners to extend team capacity. Maintain the approved vendor and freelancer list, ensuring all external partners meet department quality standards and are properly onboarded before work begins. Negotiate freelancer and contractor rates, manage vendor contracts, and ensure all vendor paperwork is completed prior to commencement of work. Review vendor and freelancer performance, providing feedback to external partners and making recommendations to retain, replace, or expand vendor relationships. Capacity Planning & Operational Reporting Monitor individual and team utilization against department capacity targets — identifying trends, flagging concerns, and recommending adjustments to the Director, Marketing Operations & Program Management and department heads. Lead daily standup meetings for Creative and Digital Strategy teams, and weekly production and resourcing meetings, providing visibility into current allocations, upcoming resource needs, and potential conflicts across the department. Communicate resource constraints and availability to Program Management and leadership, enabling informed scope, timeline, and staffing decisions. Review forecasting and allocations to provide recommendations on staffing plans, supporting the Director, Marketing Operations & Program Management with data-driven hiring and capacity decisions. Talent Development & Team Growth Maintain skill matrices for Creative and Digital Strategy team members — identifying skill gaps, development opportunities, and training needs across the department. Work with Creative and department leads to identify growth opportunities for staff within programs and projects, supporting individual development plans that increase overall department capability. Monitor estimated vs. allocated vs. actual hours, identifying discrepancies to increase department estimating accuracy and inform future resource planning. Based upon department needs, may assume responsibilities associated with Program Management to ensure continuity of operations. Qualifications: Education: Bachelor’s degree in Marketing, Business, Communications, or a related field or equivalent experience. Experience: 10+ years of experience in resource management, production management, or marketing operations within an external or in-house agency environment. Non-profit or mission-driven organization experience preferred. Technical Skills: Experience with Workamajig, Monday.com, Workfront, NetSuite, or other integrated operations tools. Skilled in maintaining production calendars, load-balancing resources, and managing skill matrices.
