Job Summary This position provides high-level administrative and operational support to the nursing staff and healthcare team, helping to ensure efficient daily operations, effective communication, and a positive patient experience. The role works closely with nurses, physicians, nurse practitioners, and other clinical staff to coordinate patient-related activities, manage administrative responsibilities, and support the overall workflow of the department. While the primary focus of this position is administrative support for the nursing team, the role also provides clinical and patient-care assistance as needed and within the employee’s scope of training and competency. Candidates with phlebotomy experience and demonstrated competency in blood collection are strongly preferred. The position requires strong organizational, communication, customer service, and problem-solving skills, as well as the ability to prioritize multiple responsibilities in a fast-paced clinical environment. Does this position require Patient Care? Yes – clinical and patient-care responsibilities are performed as needed and under the direction of appropriate healthcare providers. Essential Functions • Provide high-level administrative and operational support to nursing staff, helping coordinate daily activities, patient needs, communications, and departmental workflow. • Assist nursing staff with administrative tasks, including scheduling, patient communications, documentation, coordination with other departments, and follow-up activities. • Serve as a resource to junior Medical Assistants by assisting with day-to-day questions, workflow responsibilities, and onboarding activities as appropriate. • Act as a liaison between nursing staff, providers, patients, and other departments to facilitate timely communication, coordination, and resolution of patient-related concerns. • Perform general office and administrative duties, including answering phones, managing correspondence, completing forms, coordinating appointments, processing information, and maintaining accurate records. • Support patient flow and assist with rooming patients as needed, including preparing examination rooms and equipment for healthcare providers. • When clinical support is needed, obtain and document patient information, including vital signs, height, weight, and other appropriate clinical information in the medical record. • Provide patient education and reinforce provider instructions regarding treatments, medications, diets, procedures, and follow-up care, within the scope of the position and under appropriate clinical direction. • Perform phlebotomy and collect blood, tissue, or other laboratory specimens when trained and competent to do so; properly identify, label, document, log, and prepare specimens for laboratory testing. Previous phlebotomy experience is strongly preferred. • Maintain appropriate inventory of immunizations and monitor expiration dates. • Administer immunizations, as applicable, when appropriately certified or when the employee meets established experience requirements and is working under the supervision of a qualified provider. • Support departmental quality and safety initiatives, including adherence to patient identification requirements, hand hygiene, infection prevention practices, and other established clinical standards. • Maintain a professional, patient-centered approach when interacting with patients and families, responding to questions and concerns and escalating clinical concerns to the appropriate nursing or provider staff. • Perform other administrative and clinical support duties as assigned based on departmental needs, training, and competency. Preferred Qualifications • Previous experience providing administrative support in a healthcare or clinical environment. • Prior phlebotomy experience and demonstrated competency in blood collection strongly preferred. • Experience working with nurses, physicians, nurse practitioners, or other healthcare providers. • Medical Assistant experience or relevant clinical training preferred. • Strong organizational skills with the ability to prioritize and manage multiple tasks in a busy healthcare setting. • Excellent verbal and written communication and customer service skills. • Ability to work independently while collaborating effectively with nursing and clinical teams. • Familiarity with electronic medical records and healthcare scheduling systems preferred. • Knowledge of patient privacy, safety, infection prevention, and healthcare quality standards. Qualifications Education High School Diploma or Equivalent required or Associate's Degree Medical Assisting preferred Can this role accept experience in lieu of a degree? No Licenses and Credentials Basic Life Support [BLS Certification] - Data Conversion - Various Issuers preferred Certified Medical Assistant [National Certification] - Data Conversion - Various Issuers preferred Experience Direct MA experience or medical field work 1-2 years required Knowledge, Skills and Abilities - Strong interpersonal and communication skills are essential for success in this position. - Ability to prioritize tasks in complex and busy environments. - Accuracy and attention to detail. - Comply with all local, state, and federal privacy and confidentiality rules and regulations. - Ability to take vital signs and manual blood pressure, as well as collect blood samples and other specimens. - Comprehensive knowledge of medical terminology, procedures, and protocols. - Proficiency in electronic health record (EHR) systems and medical office software. - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems. - Managing one's own time and the time of others.
