You’ll write the SOPs, set the standards, run the team day to day, and own the numbers that show it’s working—turnaround, completion, and accuracy across a high volume of active cases. This is a player-coach role with real ownership. You’ll partner with our Chief Legal Officer and Chief People Officer to staff and scale the department, step in directly on the toughest retrievals, and make sure records are never the reason a case stalls. WHAT YOU’LL DO Build and document the SOPs, intake steps, and tracking standards that let the function scale Run the retrieval team day to day—directing workload, coaching, and developing your specialists Partner with firm leadership to size, justify, and fill the team ahead of demand Maximize record collection by getting clients onto phone and video calls—and stepping in on the toughest retrievals yourself Own measurable retrieval outcomes—turnaround, completion, and accuracy—across every active case Set and audit completeness standards so records are usable on first delivery Build relationships with providers, HIM departments, and retrieval vendors to keep turnaround fast WHAT WE’RE LOOKING FOR Required Experience in medical records retrieval, health information management, or medical-legal records Demonstrated experience leading or supervising a team or function Working knowledge of records authorization and release processes and health-information privacy (HIPAA) Strong client-facing communication—you can guide non-experts through complex steps Preferred Experience in a plaintiff-side, mass tort, or personal injury environment A track record of building, scaling, or standardizing an operational function A relevant health-information credential (e.g., RHIT or RHIA) BENEFITS & PERKS Competitive pay is just the start.
