Job Description Black Birch Technology Group is seeking a detail-oriented and highly communicative Medical Records Specialist to support our client’s Social Security Disability (SSD) operations. The Medical Records Specialist will be responsible for following up with medical facilities regarding outstanding medical record requests and submitting obtained medical records to the Social Security Administration (SSA) . This role requires strong English communication skills, confidence communicating with medical facilities, strong attention to detail, and the ability to work efficiently with technology and digital records. The ideal candidate is organized, persistent, comfortable making frequent phone calls, and able to manage sensitive information while maintaining accuracy and confidentiality. Key Responsibilities Contact medical facilities by phone to follow up on outstanding medical record requests. Communicate professionally with hospitals, clinics, medical offices, and other healthcare facilities. Track the status of medical record requests and follow up as needed. Obtain and review medical records for completeness and accuracy. Submit medical records and related documentation to the Social Security Administration (SSA) according to established procedures. Maintain accurate records of requests, follow-ups, responses, and submissions. Update internal systems and databases with relevant case and medical-record information. Identify missing, incomplete, or delayed records and take appropriate follow-up action. Handle sensitive and confidential medical information in accordance with company policies and applicable privacy requirements. Manage multiple requests and cases while meeting established deadlines and productivity expectations. Communicate issues, delays, or unusual situations to the appropriate team member or supervisor. Perform other administrative and records-related duties as assigned. They should be technically capable, highly organized, and able to work with sensitive information without sacrificing speed or accuracy. Strong English and technical proficiency are mandatory for this position. Requirements Required Qualifications • Strong spoken and written English communication skills . • Strong computer and technical skills with the ability to learn and navigate multiple systems. • Comfortable making frequent outbound phone calls and communicating with medical facilities. • Strong attention to detail and accuracy. • Excellent organization and follow-up skills. • Ability to manage multiple cases, requests, and deadlines simultaneously. • Ability to handle confidential and sensitive information professionally. • Strong written documentation skills. • Ability to work independently while following established processes and procedures. Preferred Qualifications • Previous experience in medical records, healthcare administration, medical billing, medical office administration, or a related field. • Experience working with medical facilities or healthcare providers. • Familiarity with Social Security Disability (SSD) processes. • Experience requesting, obtaining, or submitting medical records. • Experience working with electronic medical records (EMR/EHR) systems. • Previous experience in a BPO, back-office, or U.S.-based healthcare support environment. Technical Skills • Proficiency with Microsoft Office and common business applications. • Ability to work with web-based platforms, databases, and electronic document-management systems. • Ability to quickly learn new software and internal systems. • Comfortable managing digital documents and uploading/submitting records through online platforms.
