About the Role

Hydrogen Group is a global specialist recruitment business, helping organizations and talent thrive in a changing world. We're looking for an Onboarding Specialist to manage the full onboarding lifecycle for our W2 contract workforce across the US, ensuring every contractor starts compliant, informed, and ready to work from day one.

This is a hands-on, detail-driven role at the center of our contractor operations — you'll be the first point of contact for new starters and a key partner to our recruitment and sales teams.

What You'll Do

• Prepare and issue offer letters and manage the complete DocuSign onboarding pack process for new W2 contract hires
• Ensure all onboarding activity meets state-specific employment compliance and regulatory requirements across our multi-state contractor base
• Manage I-9 completion and E-Verify processing, and handle W-4 and state withholding form collection
• Set up new contractors in payroll systems and configure timesheet access and processes
• Serve as a point of contact for contractors during onboarding, answering questions and resolving issues as they arise
• Maintain accurate onboarding records and documentation in line with company and legal requirements
• Partner with recruiters, account managers, and HR/People teams to ensure a smooth, timely start for every contractor
• Flag and help resolve compliance gaps or state-specific requirement changes as they come up

What You'll Bring

• Experience in onboarding, HR operations, staffing, or a related administrative/compliance function
• Familiarity with I-9/E-Verify processes and multi-state employment documentation (W-4s, state withholding forms)
• Comfort working with payroll and timesheet systems
• Strong attention to detail and ability to manage multiple onboarding files simultaneously
• Clear, professional communication skills — you'll regularly interface directly with contractors
• Ability to work independently in a remote environment while staying closely coordinated with a distributed team
• Staffing or recruitment industry experience is a plus, but not required
• Familiarity with ADP is nice to have
