Operations & Project Manager (Freelance)

We are looking for a Freelance Operations & Project Manager to support the delivery of client projects and contribute to the development of the group's operational structure. The collaboration will be established on a professional, independent basis. This is not an employment relationship: the selected professional will retain autonomy in organising their work while coordinating with the relevant teams, project owners and deadlines. Your role You will collaborate directly with the CEO, project owners and the management team, supporting both client delivery and selected internal initiatives across the group. Your activities may include: Managing client and internal projects from planning through delivery. Coordinating timelines, priorities, deliverables and project stakeholders. Facilitating collaboration between internal teams, clients, suppliers and specialist partners. Monitoring project progress, identifying risks and proposing corrective actions. Supporting the preparation of project plans, reports, documentation and operating frameworks. Improving workflows and contributing to the definition of repeatable delivery processes. Taking ownership of agreed projects and initiatives, managing them autonomously against defined objectives. Helping management translate business priorities into concrete execution plans. The initial focus will be strongly project-oriented. Depending on the results of the collaboration and the group's evolution, the scope may progressively expand to encompass broader operational responsibilities. What we're looking for We are looking for an experienced independent professional with a strong background in project management, delivery or business operations. You may currently work as a freelancer, consultant or independent contractor and have experience in one or more of the following areas: Project Management Digital or creative agency delivery Software or technology projects Business Operations PMO Consulting Client and supplier coordination More than a specific title, we are looking for someone who combines structured project management with a practical, hands-on approach. You take ownership of agreed outcomes, organise your work autonomously and do not require detailed instructions for every activity. You will thrive if you... enjoy organising complex activities; can manage multiple projects simultaneously; communicate effectively with different stakeholders; stay calm under pressure; are comfortable making decisions with incomplete information; naturally identify opportunities for improvement; like building systems instead of simply following them; are curious about AI and modern productivity tools. Before you apply This is a hands-on professional assignment, not an advisory-only position. We are looking for someone who can personally manage projects, coordinate stakeholders and produce concrete deliverables, not only recommend how others should work. At the same time, this is not an employment role. The selected professional must be comfortable operating independently, organising their own work and being accountable for agreed outcomes. If you are looking for a highly structured organisation where every process is already defined, this collaboration is probably not the right fit. At least 3 years of relevant experience in project management, delivery or operations. Proven ability to manage several projects and stakeholders simultaneously. Strong organisational, communication and problem-solving skills. Ability to define priorities and operate autonomously against agreed objectives. Fluent in English and Italian. Fluent in German is valued. Experience with tools such as Asana, Monday, Jira, Notion or similar. Availability for occasional meetings and project-related travel. Ability to operate as an independent professional and issue invoices. An existing VAT position or equivalent professional setup is strongly preferred. An initial freelance engagement with clearly defined priorities and responsibilities. A recurring professional fee, to be agreed based on experience, availability and scope. Direct collaboration with the CEO and the group’s project and business leads. Significant autonomy in organising and managing the assigned activities. Exposure to projects across digital, AI, software, marketing and consulting. The opportunity to progressively expand the scope of the collaboration based on demonstrated results and mutual fit. Mainly remote collaboration, with meetings in Milan and travel when required by specific projects.
