Operations Specialist

Location: Fully remote. Open to candidates worldwide.

This position is with a growing residential real estate brokerage. Ideal candidates will be highly-organized, process-oriented, comfortable with AI, experienced with Google Workspace, familiar with project management, confident in learning new software, able to document and improve systems, have strong English communication (written and verbal), and be available to work remotely with flexible work hours rooted in the Central Time Zone.

Operations Specialist Job Duties

Business Operations

o Vendor management, Office supplies, Budget tracking, KPI dashboard, Meeting agendas, Project management, Policy manuals, Process improvements, Business Reviews.

o Event planning for client appreciation parties, preparing for monthly sales meetings, and leading weekly zoom meetings with staff/agents

o The objective is to run our sales organization smoothly so that nothing falls through the cracks.

Systems & Technology

o Google Workspace, CRM/Leads administration, Canva templates, SOP library, AI tools, Password documentation, Technology vendors, Automation.

o The objective is to build and implement systems that save time instead of creating work.

Marketing Operations

o Coordinate with Social Media Manager, Email campaigns, Recruitment marketing materials, Client marketing support (listing info, buyer info), Website updates, YouTube uploads, QR landing pages, Company branding, Coordinate with Social Media Coordinator.

o The goal is to have consistent branding/marketing.

Agent Experience

o Onboarding/Offboarding, Agent communications, Birthday/Anniversary recognition, Office meetings, Internal announcements, Company events, Office resources.

o The goal is to help agents feel supported and informed.
