Compassion & Choices is seeking a Operations Specialist, Programs This is a full-time, remote position. The starting salary range is $70,000–$90,000 annually. The final salary offered will be based on relevant experience, qualifications, internal equity, and organizational considerations. This position will primarily be responsible for: The Operations Specialist, Programs is a program support and project management generalist responsible for leading key operational systems and projects across the organization. This position drives operational excellence by administering systems, managing projects, and supporting the successful execution of organizational programs and events. The Operations Specialist will serve as a systems administrator and project manager in direct support of organizational programs, including researching, configuring, implementing, and maintaining operational platforms such as volunteer management software, digital collaboration systems, and resource fulfillment tools. Responsibilities may include establishing workflows, user permissions, database standards, onboarding documentation, and providing ongoing technical troubleshooting and support for staff. This position will also lead the operational systems and processes supporting internal and external events across in-person, hybrid, and virtual formats. Responsibilities include managing event logistics, project timelines, registration workflows, travel and lodging arrangements, venue operations, production schedules, and on-site coordination to support the successful delivery of mission-aligned programs. Additional Responsibilities Manage event technology platforms, registration systems, webinar and livestream tools, and virtual meeting spaces while troubleshooting technical issues and supporting high-quality participant experiences. Oversee vendor sourcing, venue selection, contract negotiations, procurement, catering, audiovisual services, transportation, and event budgets. Track event registration trends and post-event evaluations and develop dashboards and reports for leadership and program stakeholders. Collaborate with program staff to design, build, and implement volunteer platforms and streamlined operational workflows. Support the ongoing administration and continuous improvement of volunteer-facing tools, including collaboration and communication channels, resource libraries, and fulfillment and ordering systems. Provide technical assistance, system troubleshooting, and process updates to ensure volunteers and staff have seamless access to resources and operational infrastructure. Provide end-to-end project management support for special initiatives and emerging operational needs across departments, including defining project scopes, tracking timelines, coordinating resources, and supporting timely completion of deliverables. Supervisory Responsibilities This position has no direct supervisory responsibilities. The Operations Specialist provides functional leadership for event teams by coordinating vendors, consultants, volunteers, venue staff, and cross-functional internal stakeholders. This position oversees event operations and serves as the primary operational lead during event planning and execution. Preferred Qualifications (You Will Be a Good Fit): Education and Experience Minimum of five years of experience in project management, event production, and volunteer operations within a nonprofit or mission-driven environment. Demonstrated experience serving as an administrator of enterprise systems. Hands-on experience developing onboarding or training documentation for technology systems. Proven experience with end-to-end event production across in-person, hybrid, and virtual formats. Experience with vendor contract negotiations, procurement, and budget administration. Strong cross-functional project management experience working across departments to support campaigns, initiatives, and events. Skills Excellent written and verbal communication skills with the ability to prepare event plans, operational documentation, vendor communications, executive briefings, presentations, and post-event reports. Strong project management, organizational, data management, and vendor management skills. Ability to manage multiple complex events and projects simultaneously, prioritize competing deadlines, resolve logistical challenges, and make sound decisions under pressure. Ability to develop and manage event budgets, analyze registration and attendance trends, evaluate vendor proposals and event costs, and use data to recommend operational improvements. Strong negotiation, contract administration, and budget tracking skills. Exceptional customer service, problem-solving, and communication skills. Ability to build collaborative relationships across departments and effectively work with volunteers, vendors, external partners, executive leadership, donors, sponsors, presenters, and other stakeholders. Professional Knowledge The successful candidate should have advanced knowledge of or experience working with: Event operations, logistics management, volunteer coordination, and event production. Enterprise systems administration and operational workflow development. CRM systems, event technology, volunteer management software, and digital collaboration tools. Event registration platforms and webinar and virtual event technologies. Project management systems and methodologies. Vendor sourcing, procurement, contract administration, and budget management. Volunteer-facing systems, resources, and operational infrastructure. Data tracking, reporting, event evaluation, and continuous improvement. Accessibility, operational excellence, and inclusive event experiences. Supporting mission-driven organizations through volunteer engagement and high-quality event execution. The candidate should also have advanced proficiency with Google Workspace, Microsoft Office Suite, event registration platforms, webinar and virtual event technologies such as Zoom Webinar, CRM platforms (preferably EveryAction), project management software such as Asana or Smartsheet, collaboration platforms, and event management applications. Certificates, Licenses, and Registrations Professional certifications such as Project Management Professional (PMP), Certified Associate in Project Management (CAPM), Certification in Volunteer Administration (CVA), Certified Meeting Professional (CMP), Digital Event Strategist (DES), Certified Special Events Professional (CSEP), or other related certifications are preferred but not required Travel Must be able and willing to travel up to 10% of the time, including overnight and occasional weekend travel, for organizational meetings, conferences, retreats, event planning, on-site event management, and other business-related activities as needed.
