What You'll Do This role focuses on identifying, educating, screening, scheduling, and guiding prospective research participants through the enrollment process while collaborating closely with recruiters, Clinical Research Coordinators, Principal and Sub-Investigators, raters, and clinical teams to maximize study enrollment and provide an exceptional patient experience. Clinical Research Knowledge: Maintain a thorough understanding of all active clinical research studies, including eligibility criteria, study requirements, and visit schedules to accurately educate and guide prospective participants. Cross-Functional Collaboration: Partner with recruiters, clinical research coordinators, investigators, raters, and providers to coordinate patient enrollment and ensure a seamless experience throughout the recruitment process. Patient Education and Communication: Clearly explain clinical research studies, medical procedures, visit expectations, and the enrollment process while addressing patient questions with professionalism and compassion. Patient Pre-Screening and Scheduling: Conduct internal and external pre-screening activities to identify qualified participants, review eligibility criteria, and schedule appointments for potential study candidates. Patient Relationship Management: Build trusting relationships with prospective participants by providing timely follow-up, managing warm leads, and delivering exceptional customer service throughout the enrollment process. Regulatory Compliance and Documentation: Maintain accurate documentation while ensuring compliance with organizational policies, privacy regulations, and clinical research standards. Workflow and Process Support: Assist with improving enrollment workflows, scheduling efficiency, and patient engagement initiatives that support successful clinical research operations. Other Duties as Assigned What You'll Bring Associate's degree required; Bachelor's degree in Healthcare Administration, Psychology, Public Health, Communications, Business, or a related field preferred Previous experience in patient enrollment, healthcare scheduling, clinical research, medical office operations, patient access, or customer service preferred Experience working in behavioral health, psychiatry, or clinical research preferred Strong understanding of customer service and patient-centered communication Excellent verbal and written communication skills with the ability to explain medical information clearly and compassionately Strong organizational skills with the ability to manage multiple priorities simultaneously Ability to coordinate complex provider and research schedules Strong attention to detail and documentation accuracy Comfortable learning complex clinical research protocols and medical terminology Proficiency with electronic medical records (EMR), scheduling software, and Microsoft Office applications preferred Ability to work collaboratively with multidisciplinary clinical and operational teams Commitment to providing compassionate, ethical, and patient-centered service What You'll Bring High school diploma or equivalent required; Medical Assistant certification preferred. Current phlebotomy experience required. Experience administering injections required. Previous experience working in a behavioral health, psychiatry, primary care, neurology, or specialty medical practice preferred. Experience working with individuals experiencing mental health conditions preferred. TMS experience is highly preferred. Experience with electronic medical records (EMR) systems preferred. Strong customer service and patient communication skills. Ability to remain calm and professional while interacting with distressed or emotionally vulnerable patients. Excellent interpersonal, organizational, and time management skills. Strong attention to detail and ability to multitask in a fast-paced clinical environment. Fluent in English; ability to communicate in Spanish is highly preferred. Commitment to compassionate, ethical, and patient-centered care.
