This role serves as Sentrex's lead payroll and HRIS subject matter expert and combines hands-on payroll processing responsibilities with oversight of payroll operations, HR systems administration, reporting and analytics, benefits and RRSP program administration, compliance management, and continuous process improvement. The Payroll & HRIS Supervisor ensures employees are paid accurately and on time, HR data integrity is maintained, employee benefits programs are administered effectively, and all activities comply with applicable federal and provincial legislation, regulatory requirements, and company policies. The Payroll & HRIS Supervisor performs and oversees complex payroll functions, reviews and approves payroll transactions, leads HRIS administration and reporting initiatives, supports benefits and RRSP programs, resolves escalated employee inquiries, and partners closely with Finance, People & Culture, operational leaders, and external vendors. This role also provides leadership, training, and mentorship to payroll team members, leads payroll and HRIS-related projects and system enhancements, and drives process improvements that support operational excellence, compliance, data integrity, and an exceptional employee experience. This position is primarily remote. The successful candidate must be available to attend occasional onsite meetings, team events, training sessions, planning sessions, and other business-related activities, as required. Occasional travel may be required to support business needs. A Day in the Life (What you will do here): Payroll Leadership & Administration Oversee and participate in the accurate and timely processing of bi-weekly payrolls across Sentrex's multiple legal entities and employee populations throughout Canada. Perform and audit complex payroll transactions, including salaries, taxable benefits, garnishments, statutory deductions, retroactive payments, off-cycle payments, terminations, and other payroll adjustments. Review and approve payroll outputs, ensuring accuracy, compliance, and completeness prior to final submission. Ensure payroll timesheets are approved, reconciled, and verified against payroll exports, PTO records, leave balances, and unpaid time-off requests. Maintain payroll records and supporting documentation in accordance with company policies and legislative requirements. Lead year-end payroll activities, including reconciliations, ROEs, T4s, T4As, RL-1s, T2200s, and other payroll-related reporting requirements. Ensure compliance with all applicable federal and provincial payroll, tax, employment standards, and legislative requirements across Canada. Prepare and reconcile statutory remittances and support payroll-related audits and compliance reviews. Partner with Finance on payroll reconciliations, journal entries, reporting, audits, General Ledger reconciliations, and month-end and year-end activities. Support Statistics Canada reporting and payroll-related surveys. Serve as the primary point of contact and escalation resource for payroll inquiries, discrepancies, and complex payroll matters. Provide leadership, coaching, training, and support to Payroll team members to ensure service excellence and operational effectiveness. Act as backup to the Payroll Specialist and support payroll continuity during absences and peak periods. HRIS Administration & Reporting Serve as the primary HRIS administrator and subject matter expert for UKG and related people systems. Provide HRIS support to employees, managers, and stakeholders, resolving system issues and identifying proactive solutions. Maintain HR data integrity within and across systems by conducting audits, reconciliations, and corrective actions to ensure data accuracy and consistency. Manage employee data, organizational structures, workflows, security roles, and system configuration within the HRIS. Configure and maintain accrued time-off plans, leave of absence programs, and other HRIS modules as required. Create, manage, and escalate HRIS business and service cases through vendor support channels. Partner with People & Culture, Finance, IT, and operational leaders to identify opportunities to improve processes and maximize HRIS functionality. Extract, analyze, and validate HR and payroll data to support reporting and business decision-making. Develop, maintain, and enhance standard and ad hoc reports, dashboards, and HR metrics, including headcount, turnover, workforce demographics, compensation, and other People & Culture indicators. Provide ongoing support and education to end users regarding reporting tools, data interpretation, and HRIS functionality. Identify opportunities to improve reporting capabilities, automate processes, and enhance data analytics. Benefits & RRSP Administration Oversee the administration of employee group benefits and RRSP programs, ensuring accurate enrolment, updates, changes, terminations, and ongoing maintenance. Guide employees through the benefits and RRSP enrollment processes and provide ongoing education and support regarding available programs. Respond to employee inquiries regarding benefits, RRSPs, payroll deductions, plan provisions, and related programs. Coordinate with external vendors, insurance providers, and financial institutions regarding enrolments, transfers, withdrawals, and plan administration activities. Process and reconcile RRSP deductions and contributions through payroll. Maintain accurate records related to benefits and RRSP participation, contributions, changes, and transactions. Monitor and maintain benefits administration systems and related data to ensure accuracy and compliance. Reconcile monthly benefits accounts and support financial reporting and audits related to employee benefits programs. Support new hire onboarding and employee education initiatives related to payroll, benefits, and RRSP programs. Projects, Compliance & Continuous Improvement Lead payroll, HRIS, benefits, and related system implementations, upgrades, enhancements, testing, and optimization initiatives. Establish, maintain, and strengthen internal controls, audit procedures, and compliance processes related to payroll, HRIS, and benefits administration. Identify opportunities to improve processes, reporting, controls, user experience, and operational efficiency while maintaining compliance and data integrity. Participate in compensation, workforce planning, year-end, and other People & Culture initiatives as required. Build and maintain strong working relationships with internal stakeholders, external vendors, and regulatory agencies. Additional duties as assigned by your manager. What you need to ensure you are set up for success: Bachelor's degree in Accounting, Business Administration, Human Resources, Information Systems, or a related field, or an equivalent combination of education and experience. Minimum 7 years of progressive payroll experience in a complex, multi-provincial, multi-entity Canadian payroll environment. Minimum 3-5 years of HRIS administration experience, preferably with UKG. Minimum 3 years of experience administering employee benefits and RRSP programs. PCP Certification is required. CPM Certification is strongly preferred. Advanced knowledge of Canadian payroll legislation, Employment Standards legislation, payroll taxation, statutory remittances, year-end reporting requirements, and payroll best practices. Demonstrated experience leading payroll, HRIS, or process improvement projects, including system implementations, upgrades, testing, and automation initiatives. Strong knowledge of HRIS reporting, dashboard development, data analytics, data governance, and workforce reporting. Advanced proficiency with UKG, payroll systems, and Microsoft Excel, including VLOOKUPs, Pivot Tables, formulas, data analysis, and system testing. Experience with Power Query and macros is considered an asset. Strong understanding of employee benefits administration, RRSP regulations, contribution limits, and benefits best practices. Exceptional analytical, organizational, problem-solving, and decision-making skills with strong attention to detail. Strong financial and business acumen with experience supporting audits, reconciliations, and financial reporting processes. Excellent interpersonal, written, and verbal communication skills with the ability to effectively communicate complex payroll, HRIS, and benefits information. Demonstrated ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment. Proven ability to maintain confidentiality and exercise discretion in handling sensitive employee and organizational information. Bilingual (English/French) is considered an asset.
