Position Summary Acumetis is seeking a detail-oriented and proactive Payroll Specialist to oversee payroll administration and compliance for our U.S. workforce while supporting Canadian and international payroll operations. This role is responsible for ensuring accurate and timely payroll processing, managing multi-state payroll tax compliance, and serving as the primary liaison with external payroll providers. The ideal candidate brings strong payroll administration experience, a solid understanding of payroll tax regulations, and a commitment to accuracy, service, and continuous improvement. Key Responsibilities Payroll Administration Process and review recurring payrolls for U.S.-based employees. Ensure payroll data is accurate, complete, and submitted within established deadlines. Validate payroll calculations, earnings, benefits, deductions, garnishments, and tax withholdings. Review payroll registers and reconciliation reports prior to final processing. Support year-end payroll activities, including W-2 preparation and related reporting requirements. Maintain payroll records and documentation in accordance with company policies and regulatory requirements. State and Local Tax Compliance Manage multi-state payroll tax registrations and compliance requirements. Coordinate payroll tax filings and payments through third-party payroll providers. Research and resolve tax notices, agency inquiries, and payroll compliance issues. Monitor and implement changes related to federal, state, and local payroll regulations. Support unemployment insurance registrations and administration across multiple jurisdictions. Payroll Provider Management Serve as the primary point of contact for external payroll vendors and service providers. Coordinate payroll system updates, employee changes, and issue resolution. Monitor vendor performance to ensure service-level expectations and deadlines are met. Partner with Human Resources and Finance teams on employee onboarding, terminations, compensation changes, and organizational updates. International Payroll Support Assist with the administration and coordination of Canadian payroll operations. Partner with international payroll providers and professional employer organizations (PEOs) to support employee populations outside the United States. Coordinate payroll inputs, employee changes, and reporting requirements for international offices. Support payroll compliance activities and documentation requirements in applicable jurisdictions. Reporting and Controls Prepare payroll reports, reconciliations, and audit support schedules. Assist with month-end payroll accounting activities and related reporting. Participate in internal and external payroll audits. Identify opportunities to enhance payroll processes, controls, and operational efficiency. Qualifications Required 3+ years of payroll administration experience. Experience processing payroll for multi-state U.S. employee populations. Strong understanding of payroll tax regulations and compliance requirements. Experience working with third-party payroll providers. Advanced proficiency in Microsoft Excel and payroll reporting. Exceptional attention to detail, accuracy, and organizational skills. Ability to manage multiple priorities and meet critical deadlines. Strong interpersonal, communication, and customer-service skills. Preferred Experience supporting Canadian payroll operations. Experience working with international payroll providers and/or PEOs. Certified Payroll Professional (CPP) designation. Experience with payroll platforms such as Paylocity, ADP, UKG, Workday, Ceridian, or similar systems.
