The Payroll Specialist serves as the department's technical payroll expert and primary escalation point for complex payroll matters. This role is responsible for advanced payroll processing, system administration, compliance monitoring, payroll tax support, audits, and process improvement initiatives. The Payroll Specialist provides guidance and training to Payroll Coordinators and Senior Payroll Coordinators while ensuring payroll accuracy, compliance, and operational efficiency. This role pays an hourly rate of $29.00 - $36.25 Benefits for Full-Time roles: Health, Dental and Vision Insurance, 401(k) Savings Plan, 401(k) matching, and Paid Time Off (vacation days, sick days, and 11 holidays). This position will remain open until November 27, 2026. Responsibilities Payroll Processing & Technical Expertise Process and oversee complex payroll transactions across multiple pay groups. Perform advanced payroll calculations, including severance payments, retroactive pay adjustments, bonus calculations, and off-cycle payrolls. Review and approve complex payroll adjustments and corrections. Serve as the primary escalation point for payroll issues prior to management involvement. Systems Administration & Audits Assist with timekeeping configurations, setup, maintenance, and auditing activities. Maintain payroll system configurations and ensure accurate processing rules. Conduct regular payroll, timekeeping, and system audits to identify risks and opportunities for improvement. Partner with HRIS, Benefits, and IT teams to support payroll system enhancements and integrations. Implementation & Go-Live Support Support payroll implementations for new entities, locations, acquisitions, and pay groups. Own payroll setup activities, including pay groups, earnings and deduction codes, tax configurations, and timekeeping integrations Ensure payroll compliance requirements are met prior to go-live. Develop and maintain implementation checklists, testing plans, and payroll documentation. Coordinate payroll testing and validate system configurations for accuracy. Ensure employee data, payroll settings, and system configurations are complete and ready for successful payroll processing. Serve as the payroll subject matter expert during implementation and go-live activities. Identify and resolve payroll-related implementation issues while partnering with cross-functional teams to ensure successful deployment. Compliance & Tax Administration Monitor compliance with federal, state, and local payroll regulations. Assist with payroll tax compliance activities and historical tax data corrections. Manage unemployment claims and communications with third-party administrators. Support implementation of new payroll-related laws and regulatory requirements. Training & Subject Matter Expertise Serve as a subject matter expert for payroll processes, policies, and systems. Train and support Payroll Coordinators and Senior Payroll Coordinators. Develop procedural documentation and training materials. Provide guidance on payroll best practices and compliance requirements. Year-End & Reporting Assist with year-end payroll activities, including W-2 review and reconciliation. Prepare and analyze payroll reports for leadership. Identify trends and recommend process improvements to increase efficiency and accura cy. Qualifications Bachelor's degree preferred in Accounting, Finance, Business Administration, Human Resources, or a related field. 3+ years of payroll experience required. Experience processing multi-state payroll. Experience with payroll systems, HRIS platforms, and timekeeping systems. Strong understanding of payroll compliance, wage and hour laws, and payroll tax regulations. Advanced Excel skills. CPP certification preferred.
