About out Partner
Our Partner is a recruitment organization in the Australia and New Zealand (ANZ) market with established operations in providing recruitment and payroll support. They are looking for an Accounts Payable Specialist with prior accounts payable or transactional finance experience in owning transactional AP processing across all branches, including coding credit card transactions in Airwallex and invoices in Xero, managing the AP inbox, preparing payment run batches, processing expense claims, and supporting month-end AP reconciliations.
Key Responsibilities
- Transaction Processing: Code and review credit card transactions in Airwallex against receipts and expense policy, and code invoices in Xero.
- Inbox Management: Manage the accounts payable inbox by triaging incoming invoices, vendor queries, and remittance requests, routing items requiring escalation as needed.
- Payment Runs: Prepare payment run batches for review and authorisation across weekly creditor runs, 20th-of-the-month runs, and end-of-month runs, while resolving straightforward discrepancies beforehand.
- Expense Claims: Process expense claims by verifying receipts and policy compliance prior to coding.
- Vendor Data: Maintain accurate vendor master data in Xero, including bank account details, contact information, and payment terms.
- Month-End Support: Support month-end AP reconciliations and accruals under the review of the Group Financial Controller.
- Exception Handling: Promptly flag exceptions—such as payment batch rejections, rate mismatches, or disputed invoices—to the Group Financial Controller.
- Documentation: Maintain clear and current documentation of AP processing procedures to support business continuity.
Systems You Will Use
- Xero: Invoice coding, reconciliation, and GST treatment
- Airwallex: Credit card transaction coding and review
- Kiwibank (Online Banking): Payment batch upload and processing
Skills & Experience
- Experience: Prior accounts payable or transactional finance experience, ideally within a multi-branch or multi-entity environment.
- Software Knowledge: Working knowledge of Xero is essential; experience with Airwallex is a distinct advantage.
- Accuracy & Volume: Comfortable managing high transaction volumes and repetitive coding work without losing accuracy.
- Compliance: A basic understanding of New Zealand (NZ) GST treatment on supplier invoices.
- Attention to Detail: Strong eye for detail, acting as the first checkpoint against rate mismatches and coding errors before payment runs.
- Communication: Clear written communication skills for concise exception-flagging to management.
