We are looking for an organized, proactive Practice Operations Coordinator to keep our day-to-day administration running smoothly so our clinical team can focus on what they do best: supporting kids and families. Position Summary The Operations Coordinator will serve as the administrative backbone of our practice. You will manage patient intake, client and therapist scheduling, document management, and general administrative communication. The ideal candidate is empathetic, hyper-organized, comfortable using technology platforms (including Finni Health's practice management software), and familiar with HIPAA-compliant administrative processes. Key Responsibilities Scheduling & Calendar Coordination: Coordinate and maintain client therapy schedules, therapist appointments, and caregiver training sessions via the shared platform calendar. Intake & Onboarding: Assist new families with onboarding paperwork, clinical documents, and introductory administrative steps. Communication & Support: Serve as a primary administrative point of contact for families, clinical staff, and Finni Health central support teams. Documentation & Compliance: Ensure client charts, consent forms, and insurance-related documents are updated, signed, and securely filed. Operations & Practice Logistics: Assist the lead clinician/BCBA with billing admin checks, authorization tracking, and general office/practice workflow coordination. Qualifications Experience: 1–3 years of administrative, customer service, or operations experience (healthcare, ABA, pediatric, or therapy practice background strongly preferred). Tech-Savvy: Comfortable navigating practice management software, Google Workspace, and communication tools. Experience with Finni Health or CentralReach is a plus. Communication: Outstanding written and verbal communication skills; compassionate tone when interacting with caregivers and families. Organization: Detail-oriented with strong time-management skills and the ability to work independently in a part-time role.
