Overview We are seeking a professional Privacy & Compliance Coordinator to join our team! The Privacy & Compliance Coordinator, under the direction of the Privacy & Compliance Legal Counsel, plays a critical role in the organization’s privacy, compliance, and enterprise risk activities in a healthcare and home and community care environment. This position will primarily be responsible for the coordination of administrative tasks related to privacy, risk, and compliance, communicating with stakeholders, scheduling and coordinating various meetings and events, and maintaining records and data. The salary range is $60,000 to $75,000 , and placement within the range will be determined in accordance with company policies and procedures, as well as the candidate’s knowledge, skills, qualifications, and relevant experience. What The Role Involves Primary Duties and Responsibilities Manage departmental schedules, meetings, and communications, including preparation of agendas, minute taking, recording and distribution of action items, and monitoring for completion. Handle internal and external communications related to departmental responsibilities, including emails, phone calls, and the preparation and submission of reports. Organize and maintain records, databases, and files for easy access and retrieval. Assist in the preparation of presentations, reports, and other materials for various internal and external audiences, including senior leadership. Coordinate and conduct audits, including planning audit logistics, gathering relevant documentation, tracking findings, and supporting follow-up on corrective actions. Coordinate between departments to ensure the smooth flow of information and processes. Maintain and organize privacy, risk, legal and compliance records, databases, and files for easy access and retrieval. Assist in the record release process including requesting stored records, communicating with the requestor, and Ontario Health at Home, preparing and logging the record for review by the Privacy Officer. Administrative oversight of the privacy assessments, including gathering project information, documenting personal health information flows, identifying preliminary privacy risks, and coordinating with various stakeholders, both internal and external. Administrative oversight of privacy risk events. Support routine privacy inquiries from staff and stakeholders, escalating complex, high-risk, or legally sensitive matters to the Privacy and Compliance Legal Counsel for review and direction. Help maintain privacy inventories, registers, logs, and compliance tracking tools. Assist with monitoring privacy-related trends, regulatory updates, and internal issues and summarize relevant findings. Support the maintenance of the organization’s risk register by updating risk descriptions, owners, ratings, mitigation plans, due dates, and status updates. Track risk mitigation activities and follow up with internal stakeholders on outstanding actions. Assist with preparing draft risk summaries, dashboards, and briefing materials for committees, leadership, or internal working groups. Provide administrative support to the Compliance Committee. Other duties as required. What You Bring Post-secondary education in health information management, law, business administration, privacy, information management, risk management, or a related field. 2 years of experience in a privacy related role or 3 years of progressive administrative experience, with exposure to privacy or risk management preferred. Experience working with trackers, registers, logs, documentation, audits, or intake processes. Knowledge of Ontario’s healthcare system and basic medical terminology. Knowledge of PHIPA legislation and application is an asset. Ability to handle sensitive information while maintaining strict confidentiality. Strong proficiency in all aspects of Microsoft office, with proven skills in Word, Excel, and PowerPoint. Excellent communication skills, both written and verbal. Strong organizational skills with the ability to manage multiple tasks and priorities. Ability to work collaboratively and effectively in both a team environment, and independently; in a hybrid model Experience within home and community care is an asset.
