ROLE OVERVIEW Job Summary The Program Administrator provides operational leadership and administrative coordination to support the efficient, high-quality delivery of primary care services. Working closely with the Primary Care Manager, clinical and administrative staff, the role oversees clinic operations, including scheduling, staffing support, client services, inventory management, documentation systems, and operational policies. The Program Administrator also serves as a key resource for staff, clients, and partners, supporting quality improvement, client experience, specialist service coordination, and organizational excellence while collaborating with internal teams and community healthcare partners. POSITION RESPONSIBILITIES Provide operational support and administrative coordination in support of the efficient, client-centred delivery of Primary Care services. Integral in clinic operations, including: scheduling, patient intake, medical records, chart audits, inventory management, purchasing, and clinical documentation systems. Coordinate administrative processes, onboarding, staff scheduling support, mandatory training, and clinic meetings to ensure effective day-to-day operations. Foster a welcoming, inclusive, trauma-responsive, and culturally safe environment by supporting equitable access to services and coordinating client feedback and complaint processes. Build collaborative relationships with interdisciplinary teams, community partners, and embedded specialist providers to support integrated service delivery. Support recruitment, onboarding, and operational oversight of administrative staff, embedded specialist clinics, and program initiatives. Lead and support quality improvement activities, including data collection, chart audits, reporting, and implementation of operational improvements. Monitor clinic resources, facilities, and operational systems to ensure compliance, safety, efficiency, and organizational standards. Promote continuous learning and ensure compliance with organizational policies, privacy legislation, occupational health and safety requirements, and accreditation standards. Demonstrate a commitment to Equity, Diversity, Inclusion, Indigenization, and Accessibility (EDIIA) by advancing inclusive, anti-oppressive, and culturally responsive practices in all aspects of service delivery. WHAT YOU BRING Post-secondary degree or diploma in relevant discipline. Three years progressive administrative experience in community or health setting, preferably working with health care professionals. Experience in healthcare administration or medical/clinical administration is an asset. Experience working with electronic medical records systems (e.g. PS Suite). Experience in program/service development, implementation, monitoring and evaluation using a quality improvement approach. Knowledge of privacy legislation as it relates to healthcare and private documents. Demonstrated ability to work in a multidisciplinary setting. Proficiency in typing, the use of computers and various software applications; database management experience an asset. Strong interpersonal (oral and written) and problem-solving skills; a commitment to teamwork. Excellent organizational skills, above average attention to detail, and ability to multi-task in a fast-paced environment.
