Stanford Graduate School of Business is seeking a Program Manager, Engagement and Outreach, to support the school's most influential volunteer communities, including the Dean's Advisory Council and a growing portfolio of alumni boards and councils. This is a rare vantage point, offering the chance to work closely with some of Stanford GSB's most influential and engaged alumni leaders and to play a direct role in championing and stewarding the volunteers who provide strategic counsel, advocacy, and support for the school's mission. The Program Manager owns operational management across board and council activity, including planning and executing logistics for high-visibility meetings, managing budgets, maintaining board and community management systems, and designing onboarding and offboarding experiences for council members. Operational logistics for the board and council member ecosystem span the full lifecycle, from prospective to current to former, including expanding engagement opportunities for former members, with ongoing attention to refining policies and procedures that improve the experience and efficiency of the program over time. Data hygiene is also a critical part of the job, with regular audits to ensure accuracy, alongside data analysis and reporting that surfaces engagement trends and informs recommendations shaping how these groups run. As a responsive, trusted point of contact for alumni volunteers, C-suite stakeholders, and their support staff, this person also partners closely with colleagues across External Relations and the broader campus community to coordinate support for boards and councils. There is also a firsthand opportunity to contribute to special projects and institutional initiatives as they arise. This role is best suited to someone highly detail-oriented, energized by managing many moving pieces and relationships at once, and who genuinely enjoys the craft of meeting and event logistics. The ideal candidate communicates clearly across audiences, from senior alumni to internal teams, brings strong organizational skills, and approaches new systems and technologies with curiosity. This person brings genuine care, creativity, and a service-oriented mindset to the volunteer experience, always looking for thoughtful ways to make it exceptional. Sitting within a small Engagement and Outreach team, part of the broader External Relations team at Stanford GSB, the Program Manager reports to the Director, Engagement and Outreach. The position is a hybrid role requiring several days a week on campus with occasional evening and weekend availability to support events. Unique Duties to this Role Own end-to-end operational logistics for twice-yearly council meetings and occasional virtual gatherings, including venue coordination, materials and collateral, and day-of execution as applicable. Manage board and volunteer management systems (e.g., Airtable, BoardEffect), including data hygiene, ongoing data audits, and platform administration, while developing strategies to strengthen community engagement through these tools. Oversee the board and council lifecycle to ensure consistency and continuity of volunteer experience, engagement, and process. Build and maintain relationships with executive assistants and support staff for C-suite-level stakeholders and Advisory Council members. Lead an External Relations community of practice to align and strengthen support of boards and councils across the school. Core Duties : Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program. Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function. Analyze and interpret policies; develop, revise and implement procedures for program or function. Represent the program or function as the key contact and subject matter expert within the department, unit or school. Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies. Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences. May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget. May direct staff to perform various tasks and assignments. May also supervise staff. Minimum Education and Experience Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience. Knowledge, Skills and Abilities : Demonstrated ability to prioritize own work and multi-task. Demonstrated excellent organizational skills. Demonstrated ability to take initiative and ownership of projects. Ability to communicate effectively both orally and in writing. Ability to routinely and independently exercise sound judgment in making decisions. Demonstrated experience working independently and as part of a team. Relevant subject matter knowledge. Ability to direct the work of others, for jobs requiring supervision.
