Job Description About the role: The Project Coordinator will support business operations for transformational programs – including Aedifica Fortis, Labs of Tomorrow, and others.- while supporting the onsite and operational needs of R&D and Global Medical DD&T (RDGM-DDT). This role will serve as a central point of coordination across departments to help ensure seamless operational logistics, strong communication, and seamless delivery. In addition, they will support department culture initiatives, training logistical coordination, and ad-hoc onsite department requests. This role is key to strengthening the culture and engagement of the department -- bringing people together, driving smooth and frictionless processes that build connection, and fostering a strong sense of community. How you will contribute: o Transformational Program Coordination: Provide project coordination and operational support for Aedifica Fortis, Labs of Tomorrow, and other large transformational programs, working with leaders to support large international program teams, support program logistical needs, help with standardization of team experience (onboarding, daily operations), and more o Onsite & Operational Support: Independently drive on-site logistics coordination for RDGM-DDT events and key face-to-face meetings – including space management, attendee communications, and onsite technology – to deliver a seamless event experience from planning through on-site execution. In addition, serve as a key point of contact for department engagement weeks, helping coordinate logistics and ensure a smooth employee experience. o Employee Training Liaison: Serve as training coordinator for RDGM-DDT, including managing the training curriculum, maintaining a central repository of training knowledge and resources, and serving as the point of contact to enterprise groups on training- related matters. Also partner with other departments to make sure that we are aligned to overall Takeda ways of working. o Departmental Documentation Management: Develop and maintain materials and MS-Teams and SharePoint-based systems for managing RDGM-DDT operations-associated information such as organization charts, headcount tracking, and distribution lists. Keep team sites and information platforms current by posting materials and updates o Ad-hoc Support: Provide flexible support for special projects on an as-needs basis, adapting quickly to shifting priorities. Education & Competencies: • Bachelor’s degree preferred • Minimum of 5years of administrative, business operations, or project coordination experience, with exceptional project management and communication skills • 2 years experience in pharmaceuticals, biotechnology, or technology preferred, or evidence of familiarity with relevant processes, workflows, and terminology • Experience with Takeda’s processes would be highly desirable Skills: • Demonstrates initiative and works effectively both independently and collaboratively, adapting to changing priorities. • Builds respectful working relationships and communicates effectively with colleagues across organizational levels and cultures. • Communicates information clearly and professionally in writing and verbally. • Develops and maintains SharePoint and Microsoft Teams sites; proficient in Microsoft Office applications. • Organizes work carefully, maintaining accuracy and attention to detail. • Prioritizes and manages multiple activities of varying complexity. • Applies problem-solving and troubleshooting skills in a collaborative, cross-functional environment. • Handles confidential information with discretion. • Understands matrix organizations and supports an inclusive, collaborative team culture and employee engagement. For Location: Cambridge, MA U.S. Base Salary Range: $89,900.00 - $141,240.00 The estimated salary range reflects an anticipated range for this position.
