DXB Perfume is a growing fragrance business operating across retail, e-commerce and distribution. We work with teams, suppliers, brands and commercial partners across multiple markets.
Role Overview
We are looking for a highly organised, commercially minded and assertive Business Project Manager to coordinate and track priority projects across purchasing, supply chain, product development, marketing, sales, retail, e-commerce, finance, HR, systems and other business functions.
The successful candidate will act as the central source of truth for company-wide projects. They will attend relevant meetings, maintain the project tracker, record decisions and actions, follow up with managers, identify delays and sticking points, and provide clear updates to the CEO and senior leadership team.
This is a fully remote role, but the successful candidate must be available and highly responsive throughout typical UK office hours. Department managers remain responsible for delivering their work; the Business Project Manager ensures visibility, coordination, accountability and timely escalation.
Key Responsibilities
Company-Wide Project Oversight
- Create and maintain a master tracker covering all approved company projects.
- Ensure every project has a clear objective, sponsor, owner, scope, deliverables, milestones, deadlines, budget, dependencies and success measures.
- Maintain accurate red, amber or green project status, progress updates, upcoming milestones, risks, issues and forecast completion dates.
- Ensure new projects are properly scoped and assigned before work begins and formally closed when completed or cancelled.
Meetings, Actions and Follow-Up
- Attend relevant departmental, project and cross-functional meetings.
- Record decisions, actions, accountable owners and deadlines in a clear and consistent format.
- Update the project tracker promptly and circulate concise action notes to relevant stakeholders.
- Hold regular progress check-ins with managers and obtain clear, evidence-based updates.
- Follow up consistently on overdue actions and agree recovery plans where projects are slipping.
- Coordinate dependencies between departments so teams are not waiting unnecessarily for one another.
Executive Reporting and Escalation
- Provide the CEO and senior leadership team with a concise weekly project report covering progress, delays, risks, overdue actions and decisions required.
- Maintain a clear executive dashboard showing project health, priorities, ownership, deadlines and key dependencies.
- Escalate material risks, repeated non-delivery, resource conflicts and urgent decisions early enough for leadership to intervene.
- Present practical recommendations and possible solutions, not only lists of problems.
Planning, Risk and Commercial Control
- Turn business objectives and leadership decisions into practical project plans, workstreams, milestones and accountable actions.
- Help project sponsors define scope, timescales, acceptance criteria and required resources.
- Track risks, issues, dependencies, changes to scope and approved project budgets.
- Identify unrealistic deadlines, missing resources or overloaded teams and recommend reprioritisation where required.
- Run post-project reviews, record lessons learned and assess whether completed projects delivered the expected commercial or operational benefit.
Direct Project Management
- Lead selected cross-functional or special projects when appointed by the CEO or project sponsor.
- Chair project meetings, coordinate workstreams and drive projects through to completion.
- Coordinate internal teams and relevant external agencies, suppliers, contractors and professional advisers.
- Step into high-priority or underperforming projects to clarify ownership and establish a recovery plan.
Examples of Projects
Projects may include supplier onboarding, purchasing programmes, packaging and product development, new fragrance launches, marketing campaigns, exhibitions, major retailer onboarding, store and kiosk openings, e-commerce or systems implementations, warehouse and logistics improvements, and international expansion projects.
Skills and Experience
Essential
- A minimum of 5 years' experience in a closely comparable company-wide project management, PMO or business operations role within a multinational company.
- Demonstrable experience managing multiple projects across different departments, countries or business units at the same time.
- Proven experience working remotely with senior leaders, managers and cross-functional teams across multiple locations and time zones.
- Strong project planning, milestone tracking, dependency management, risk management and executive reporting skills.
- Strong commercial awareness, including an understanding of budgets, resources, priorities and business impact.
- Confidence following up with managers, challenging incomplete information and escalating delays appropriately.
- Excellent written communication and the ability to turn complex information into concise leadership updates.
- Strong working knowledge of project-management software, Microsoft Teams and Excel.
- Ability to remain fully available and responsive throughout typical UK office hours.
Desirable
- Experience in retail, e-commerce, distribution, consumer goods, beauty or fragrance.
- Experience coordinating product launches, store openings, supply-chain projects, marketing campaigns or major customer rollouts.
- Experience establishing a company-wide project tracker or lightweight PMO function.
- A recognised project-management qualification such as PRINCE2, APM, PMP or Agile certification.
