Please Note: You are not required to report into a Mosaic office; however, there is travel to client locations across the United States required for this role. (~50%) Geographic flexibility: This position is open to candidates residing anywhere in the US. Position Overview The Project Manager (PM) leads one or more teams of Mosaic professionals to deliver projects on time, on budget, and within a defined scope that meets the client’s stated business objectives. The PM owns the day-to-day operation of the project and manages it in alignment with the Mosaic Project Management Framework and its supporting processes. The PM works within a cross-functional project governance team. Mosaic’s governance roles are a collaborative partnership rather than a hierarchy: the PM reports to the Director, Portfolio Management for performance, development, and assignment, and is accountable to the assigned Portfolio Manager for the delivery of each project. The PM ensures the team has access to the Mosaic and client tools and resources needed to complete the defined scope of work, proactively managing risks and issues to remove blockers to team success. Across the project life cycle, the PM interacts with Mosaic and client team members and client leadership, consults stakeholders to shape recommendations and decisions, and monitors and reports project health. Roles and Responsibilities The responsibilities of the Project Manager role are as follows: Collaborative Governance Facilitate decision-making for the project among the project’s governance team. Monitor project financial performance in collaboration with the Project Controller, including revenue realization, margin attainment, forecast accuracy, contract compliance, burn, and the information required for invoicing. Identify emerging client relationships, contractual, financial, and delivery risks requiring executive intervention and escalate them to the Portfolio Manager, Strategic Advisor, and Executive Sponsor through defined escalation paths. Forecast project resource requirements and work with Resource Management and Portfolio Management to identify staffing needs, transitions, and emerging capacity constraints. Facilitates timely onboarding and offboarding decisions to maintain delivery continuity. Collaborate with the project governance team to coach key client stakeholders. Prepare and present the project update for the internal Monthly Portfolio Review. Project Management Expertise Apply Mosaic Project Management processes on every project and document any deviation through the PMO Exception process. Translate the Statement of Work into a detailed project schedule, communication plan, and supporting project documentation using Mosaic PMO processes and templates. Facilitate internal Mosaic project team onboarding and the Client Project Planning Kick-off. Obtain formal client approval of the project plan. Manage schedule, scope, and budget against the Statement of Work, adjusting work plans as business needs change. Maintain the risk log, issue log, and weekly status reporting in the Mosaic Status Tracker. Manage change through the Change Request process and secures formal sign-off through the Deliverable Acceptance process. Apply PMI-aligned practices across schedule, cost, change, risk, and issue management, and selects the delivery methodology (Waterfall, Scrum, Kanban, or Hybrid) appropriate to the work. Complete project closeout, including facilitating the Lessons Learned process, finalizing the information required for invoicing, and confirming administrative closure with the Project Controller. Business / Industry Acumen Develop working knowledge of the client’s operations, processes, and financial drivers in collaboration with the Strategic Advisor. Build familiarity with the client’s industry and maintains awareness of internal and external client dynamics that may affect the project. Collaborate with third-party vendors and client executives to meet project goals. Leverage approved productivity, automation, and AI-enabled tools to improve delivery quality, efficiency, and project insight while operating within the security, privacy, and compliance requirements of both Mosaic and the client. Identify potential scope expansion or follow-on work and raise it to the Portfolio Manager and Client Executive. Effective Communication Establish and execute a communication plan that informs client, Mosaic, and stakeholder audiences in a timely manner of the events and issues that concern them. Drive proactive, transparent communication across all project stakeholders, including early disclosure of unfavorable news. Facilitate the resolution of team conflict. Coach, mentor, and encourage project team members to take positive action and accountability for their assigned work. Maintain and enforce team responsibilities and accountabilities. Collaborate with the project governance team to identify team members’ strengths and development areas and allocates work to increase efficiency and effectiveness. To effectively respond to client and project needs, roles and responsibilities will vary and may include additional responsibilities not listed. Skills and Experience Three to five years of experience managing projects for a consulting firm or B2B service provider, or successful completion of the Mosaic Project Manager Apprentice Program (PMAP). Demonstrated track record leading projects valued between $50K and $3M for client organizations. Demonstrated success managing the day-to-day operational aspects of a project, including timeline, budget, and scope. Demonstrated success managing day-to-day client interactions, including managing relationships and resolving project issues. Experience leading projects through the full life cycle with a proven ability to deliver within the outlined scope, budget, and timeline. Strong communication skills, including the ability to convey difficult or sensitive information tactfully. Strong documentation and data collection skills. Demonstrated ability using project management software such as MS Project, along with recognized methodologies and best practices. Advanced skills in the Microsoft 365 suite (Word, Excel, PowerPoint, Teams, SharePoint). Demonstrated ability to operate successfully in an ambiguous environment and to solve problems creatively. Demonstrated ability to delegate effectively to optimize team performance. Highly organized with strong time management skills; resourceful and effective under pressure. Ability to move between analytical work and interpersonal engagement as the situation requires. Preferred Skills and Experience Experience in Energy & Utilities or another regulated client environment. Experience delivering training, organizational change, or systems integration projects. Working knowledge of Agile delivery within a hybrid methodology. Experience applying AI tools within enterprise security and compliance constraints. Education and Certification Bachelor’s degree in Project Management, Business, Engineering, Information Technology, Computer Science, Management, or a related field or an equivalent combination of education and directly relevant experience. Master’s degree in Project Management, Business, Engineering, Information Technology, Computer Science, Management, or a related field preferred. PMI Project Management Professional (PMP) certification preferred. Working Relationships Physical Demands: While performing the essential functions of this position, the employee is required to communicate effectively; remain stationary for extended periods; operate a computer and other standard office equipment; view computer screens and read electronic and printed materials; and stand, walk, and reach. The position may also require extended periods of sitting while traveling. Work Environment: Work is performed in a variety of environments, including remote, office, client-site, and field locations, depending on business and client needs. Travel is an essential function of this position and may be required on a regular basis to support client engagements, meetings, training, and other business activities. The salary range listed reflects a good faith estimate of the compensation for this role at the time of posting. A reasonable national base salary range for this position is $95,000.00 - $165,000.00 USD annually, and compensation decisions are dependent on the facts and circumstances of each case. This position is eligible to participate in a bonus program of up to 8% of annual compensation, subject to individual and organizational performance. In addition to salary and bonus eligibility, Mosaic offers a comprehensive benefits package, including health and wellness benefits, a Flexible Time Off program, paid holidays, a discretionary 401(k) match, and for US based employees, participation in the Employee Stock Ownership Plan (ESOP). Salary Range Notice: The salary range listed for this position applies to candidates located in the United States.
