The Role As Project Manager, you will own the delivery of a portfolio of projects that spans the entire business – from product and engineering through sales, marketing, customer success, finance, and support. This is a truly cross-functional role: you will take projects from inception to release and through the post launch period, bringing structure, momentum, and visibility to initiatives that no single department owns. Reporting to the CFO within the Finance and Operations team, you will plan, estimate, coordinate, and communicate relentlessly – and when things stall, you will hustle to get results. While this is not a technical project management role, Vivi is a technology business, so you will bring a working understanding of software, agile ways of working, and how product and engineering teams deliver. And while the role is not exclusively about AI, Vivi is undergoing an AI transformation – both in how the business operates and in its products, through its Vivi Classroom Intelligence initiatives – and many of the projects in your portfolio will be part of that change. Your immediate priority, and the first mission of this role, is to project-manage the delivery of Vivi’s new product launch from end to end – building and driving the plan that brings it to market, working to the Product Manager who owns the overall launch. Once it has successfully landed, you will take on the broader portfolio described here. Responsibilities: Portfolio & Project Delivery: Manage a portfolio of concurrent projects across the business, from inception through to go-live and through post-launch stabilisation, ensuring each has clear objectives, scope, owners, and success measures. Develop and maintain project plans, schedules, budgets, and resource estimates, tracking progress and keeping delivery on course. Apply the right level of governance to each initiative – kick-offs, status reporting, steering updates, and post-project reviews – bringing structure without drowning teams in process. Manage dependencies between departments, understanding the critical path and sequencing work so the whole portfolio keeps moving. For product releases, build and drive the end-to-end launch plan – spanning delivery, go-to-market readiness and the post-launch period coordinating every function required (sales, marketing, product, engineering, IT, operations, customer success, support, finance, legal and security) to reach go-live and beyond. The Product Manager owns the overall product launch; this role owns the plan and its execution. For product releases, coordinate the required data-privacy and security sign-offs – including student-data obligations and ST4S – so they are obtained before go-live. Coordinate the post-implementation review (PIR) process across all major projects and product launches – capturing outcomes, benefits realised and lessons learned, and feeding them back to improve how Vivi delivers. Planning & Estimation: Facilitate planning and estimation with project teams, turning ambiguous goals into achievable, resourced plans. Build realistic estimates with the people doing the work, track actuals against them, and improve forecast accuracy over time. Identify, assess, and actively manage risks, issues, and assumptions – escalating early, with options rather than just problems. Stakeholder Management & Communication: Communicate clearly and constantly – the right information, at the right level, at the right time – from working teams through to executive stakeholders. Build strong relationships across Product and Engineering, Sales, Marketing, Customer Success, Support, and Finance, becoming the trusted connector who knows what is happening across the business. Facilitate decision-making: frame the options, gather input, drive to a decision, record it, and move on. Reporting & Insights: Own the portfolio reporting rhythm: produce high-quality, accurate reports on a regular, dependable cadence, so leadership always knows the state of play. Present portfolio and project reports to the executive and leadership teams, confidently answering questions on status, risks, dependencies, and trade-offs. Ensure reporting is built on reliable data – a single source of truth for status, budgets, and forecasts – so decisions are made on facts, not impressions. Execution & Drive: Create momentum: chase actions, unblock teams, and keep initiatives moving between meetings, not just during them. Roll up your sleeves – when a project needs something done that has no owner, own it. Balance persistence with pragmatism, knowing when to push, when to escalate, and when to re-plan. Continuously improve how Vivi delivers projects, capturing lessons learned and building lightweight, repeatable ways of working. Experience: Solid project management experience (approximately 5+ years) with a proven record of delivering cross-functional projects end to end (essential). Demonstrated experience delivering cross-business product launches or go-to-market programmes end to end – knowing how to coordinate across sales, marketing, product, engineering, IT, operations, finance and legal to bring a product to market – not just running internal IT or technical projects (essential). Experience building or establishing a project management function, process or framework is highly valued we do not have a set process today, so a builder who can bring structure while managing and coordinating stakeholders well will add real value. Experience working in a technology or software business, with a good understanding of agile ways of working and how product and engineering teams deliver (essential). A basic, practical understanding of technology – enough to hold your own in delivery conversations; this is not a technical project management role. Strong planning, scheduling, and estimation skills across projects of varying size and complexity. Excellent written, verbal, and presentation skills, with the ability to communicate at all levels from engineers to executives. Experience producing accurate, executive quality reporting to a regular cadence, and presenting it to executive and leadership audiences (essential). Highly organised, with experience managing multiple concurrent projects and competing priorities. Proficiency with project and collaboration tools such as Jira and Confluence, or similar. Commercial awareness, with comfort managing project budgets and reporting into a finance function (desirable). Project management certification such as PMP, PRINCE2, or an agile certification (desirable, not required). Experience in the EdTech industry (advantageous). Exposure to AI initiatives, or delivering business or product transformation programs (advantageous). A results-driven self-starter with the energy and persistence to get things over the line.
