PROJECTS & CONTRACTS ADMINISTRATOR Fully Remote • Remote Apply Overview Salary Range $70,000.00 - $70,000.00 Salary/year Position Type Full Time Job Shift Day Education Level Not Specified Travel Percentage Negligible Category Professional Services Apply Description POSITION DESCRIPTION: PROJECTS & CONTRACTS ADMINISTRATOR As the official nonprofit partner of Grand Canyon National Park, Grand Canyon Conservancy (GCC) works to fund and drive priority park projects forward. The projects address a wide variety of park needs, ranging from post-fire North Rim recovery to long-range capital projects, native fish conservation, wildlife protection, historic infrastructure and preservation, trail maintenance, and more. The GCC Programs & Partnerships team supports these initiatives by working closely with National Park Service (NPS) staff to understand needs and priorities, coordinating internally across departments to ensure projects are adequately resourced, and implementing work plans to meet all objectives. GCC is expanding its ability to support park projects and thus is seeking to hire a Projects and Contracts Administrator to support the Programs & Partnerships team. The Projects and Contracts Administrator collaborates across GCC teams, with NPS, and contractors of a variety of fields to support the implementation of high-quality projects that benefit Grand Canyon National Park (GCNP). Under the direction of the Park Projects Manager, the Projects and Contracts Administrator drafts and implements contracts, coordinates procurement processes, develops and maintains contract management platforms, and monitors project budgets, deliverables, timelines, and reporting. The position requires close attention to formal cooperative agreements that exist between NPS and GCC to ensure all projects comply with approval standards. This position is a remote, full-time, exempt, benefit-eligible position with occasional travel to the South Rim of Grand Canyon National Park. Temporary housing and office space are provided to support travel arrangements. This position reports to the Park Projects Manager. ABOUT GRAND CANYON CONSERVANCY Grand Canyon Conservancy (GCC) is the official nonprofit partner of Grand Canyon National Park. As the official philanthropic and collaborative partner of Grand Canyon National Park, Grand Canyon Conservancy’s mission is to inspire generations of park champions to cherish and support the natural and cultural wonder of Grand Canyon. GCC raises private funds, operates retail shops within the park, and provides premier educational programs about the natural and cultural history of the region. In partnership with Grand Canyon National Park, we support initiatives that uplift Indigenous knowledge, protect sacred sites, and ensure tribal voices play a vital role in shaping the future of the canyon. PRIMARY RESPONSIBILITIES Duties may include, but are not limited to: Contracts Administration • Performs all aspects of contract administration and compliance, including writing and monitoring contracts, developing scopes of work, auditing contractor performance, processing invoices for payment, and closing out projects. • Leads the procurement process, including drafting scopes of work and requests for proposals, accepting bids, coordinating internal approvals, and maintaining record retention, including those reflecting contract expenditures. • In collaboration with the Finance team, ensures contracts are not overspent, and when needed, amendments are coordinated. • Partners with teams at NPS and GCC, including Operations, Philanthropy, and Finance, to document and record project work and to provide statistical and narrative reports for internal and external use. Project Management & Process Improvement • Under the direction of the Park Projects Manager and in support of annual strategic workplans shared by NPS and GCC, supports improvements to project governance models, operational systems, processes, and policies to accelerate implementation of GCC-funded projects, programs, and initiatives. • Drafts SOPs and supports change management to ensure adherence to updated policies by GCC staff and external partners. • Supports the development and execution of multiple project implementation plans. • Collects and synthesizes quantitative and qualitative data and develops project summaries that effectively describe impact. • Monitor project budgets, including collecting and processing contractor invoices with the support of the Finance team. • Communicate and collaborate closely with the GCC Philanthropy team to facilitate grant proposal and reporting processes, including shared data reviews. • May perform other administrative tasks as needed. TOTAL COMPENSATION This is a full-time, exempt, benefit-eligible position. The target hiring salary rate is 70 K annually. WORKING CONDITIONS • This position is predominantly sedentary at a computer desk. • Ability to drive to various sites at Grand Canyon, including walking over uneven surfaces and through historic buildings. • Ability to work evenings or weekends on a limited basis as needed for special meetings. Grand Canyon Conservancy is an Equal Opportunity Employer Qualifications MINIMUM QUALIFICATIONS • Two or more years of relevant contracting and project management experience, preferably applied to initiatives funded by or in partnership with federal/state agencies; to partially offset professional experience, academic achievement, such as a bachelor's degree in Business Administration, Nonprofit Management/Leadership, Public Administration/Public Affairs, or a related field, may be applied. • Knowledge of grant-funded programming, tracking, and reporting, or similar budget management and tracking skills. • Demonstrable experience supporting multiple projects, programs, and/or initiatives simultaneously. • Experience with procurement processes and understanding of best practices, including compliance, issuing RFPs, and record keeping. • Technologically savvy, with experience using a variety of tools and systems, including Microsoft Office Suite and SharePoint. • Personal qualities of integrity, collegiality, collaboration, and commitment to GCC’s mission. PREFERRED QUALIFICATIONS, SKILLS, AND CHARACTERISTICS • Experience working with the National Park Service or other Department of the Interior entities, and/or within similar nonprofit organizations like GCC. • Prior knowledge of and/or experience in process improvement methodologies. • Excellent communication skills as demonstrated by the ability to customize messaging to reach diverse audiences. • Strong interest in project management and proven ability to monitor and support projects from inception to completion.
