Description Employment Type: Temporary | Exemption Status: Non-Exempt Hourly Rate: $28.50 (equivalent to $59,280.00 annually) Location : Kearny Mesa About CDA: Child Development Associates, Inc. (CDA) is a community based, multiservice non-profit agency with over 300 employees dedicated to creating positive change in our local community. We believe that all families deserve equal access to supportive services that will promote children’s healthy development and future success. Purpose of Role: As a Provider Specialist, you will serve as the primary provider liaison for assigned child care providers. In this role, the Provider Specialist delivers high-quality internal and external customer service and is responsible for maintaining provider files in compliance with California Department of Social Services (CDSS), Child Care and Development Division regulations, and CDA policies and procedures. Who We’re Looking For: We are looking for someone who: Possesses excellent administrative and interpersonal skills. Demonstrates the ability to cultivate positive relationships. Is sensitive to the diverse socio-economic, cultural, and linguistic needs of the families CDA serves. Is detail-oriented, organized, and able to prioritize work under pressure and meet strict deadlines. Maintains confidentiality and discretion. Summary of Responsibilities: Serve as the primary point of contact and provider specialist for an assigned provider caseload; caseload size may vary based on operational needs. Provide comprehensive training and technical assistance to enrolling and existing child care providers, including participation requirements, reimbursement processes, and CDA policies and procedures. Conduct provider orientations and training presentations related to participation requirements and quality child care practices. Collaborate with other CDA departments to research provider status and reimbursement inquiries; request verified adjustments and follow up as needed. Maintain accurate and compliant provider files by requesting updated documentation, tracking required information, processing changes, and meeting established timelines. Provide walk-in, phone, and written customer service support to enrolling and enrolled providers. Evaluate and interpret provider reimbursement rates for accurate data entry and ongoing file maintenance. Maintain organized digital provider files that document the history of provider participation, verifications, and approvals. Conduct provider file reviews for quality control as assigned. Conduct enrollment limitation and capacity reviews for assigned providers by generating reports; analyzing and documenting findings; collaborating with partnering agencies and collecting required data as needed to complete enrollment limitation reports; communicating limitations, corrective actions, and timelines to providers using approved tools; and completing disenrollment actions by preparing notices, tracking due dates, maintaining documentation, and updating internal systems in accordance with established procedures and timelines. Reconcile error reports by identifying compliance-related errors; correcting provider files and database entries accurately and within assigned due dates; and reviewing corrected items to understand root causes and apply lessons learned to future work to prevent recurring errors. Monitor assigned providers for licensing changes by reviewing the Community Care Licensing website when notified of changes; follow established procedures for license closures or changes; obtain clarification from providers as needed; and ensure required steps are completed to initiate timely notification to enrolled families. Participate in program integrity reviews and special projects by completing assigned tasks accurately and timely; gathering and reviewing required documentation; following established procedures; identifying and reporting potential compliance issues; documenting actions and outcomes; and supporting corrective actions as directed. Additional Duties and Responsibilities: Represent program and Agency at professional organizations and community events or meetings as needed. Participate in on- and off-site learning opportunities such as workshops, conferences, staff meetings and trainings. Assist in the training and mentoring of other staff members as needed. Position Requirements Associate’s degree in early childhood education, Human Services or related field preferred. One-year related experience and/or training, or equivalent combination of education and experience to include experience working with the childcare community, subsidy program and/or non-profit sector with a focus on reimbursement. Must be proficient in Microsoft Office, to include Word, Excel, Power Point and Outlook. Bilingual/Spanish preferred Work Schedule: Full-time, Monday—Friday, 40 hours per week, 8:30 AM to 5:00 PM. Office/Remote (hybrid) options available after training has been completed.
