Job Title: Quality Management Systems Coordinator Job Description The Quality Management System's (QMS) Coordinator supports the administration, maintenance, and continuous improvement of Quality Management System (QMS) programs, systems, and compliance activities. This role provides operational and systems support across certifications, regulatory registrations, digital platforms, and KPI tracking, ensuring that documentation and resources are accurate, up-to-date, and easily accessible to relevant stakeholders. Responsibilities Administer and maintain QMS systems and databases, including SharePoint sites and Intelex system modules. Oversee the Quality and Food Safety SharePoint sites, ensuring content accuracy, logical structure, and ease of navigation. Serve as the primary administrator for database management, including user access, data integrity, and configuration. Coordinate administration activities such as cross-functional integration projects and system optimization initiatives. Support maintenance, troubleshooting, data accuracy, and functionality of Quality Management systems and tools. Coordinate third-party certification programs and maintenance activities for Kosher, Organic, Non-GMO Project, Gluten Free, and other certifications. Track documentation and renewal timelines, and support audit preparation activities for certification and regulatory programs. Act as primary or backup liaison with certification agencies, auditors, inspectors, and accrediting bodies. Complete regulatory compliance activities, including facility registrations and license and certification renewals. Coordinate on-site facility inspections as required to support quality and food safety compliance. Serve as KPI data coordinator for quality and food safety functions, ensuring accurate and timely data collection. Prepare and distribute monthly KPI communications, ensuring clarity, accuracy, and timeliness. Compile data from multiple sources to support reporting of Quality Management Systems and food safety performance metrics. Consolidate and optimize data sources as part of continuous improvement and automation initiatives. Develop and maintain tools and processes to track trends, identify gaps, and document follow-up actions. Facilitate the receipt, documentation, and communication of customer complaints. Collaborate with customers, sales, consumer affairs, and other resources to support complaint management and resolution. Partner with manufacturing locations to complete investigations and provide timely responses to customers. Upload and gather documents related to incidents and route them for review and approval by cross-functional teams. Maintain organized electronic and physical filing systems for key documentation and records. Perform other duties as assigned to support Quality Management Systems and broader Quality & Food Safety initiatives. Essential Skills Bachelor's degree in Food Science, Nutrition, Biology, Chemistry, or a related field of study. 1–2 years of experience in documentation management, quality management systems, or a related technical background. Strong attention to detail with a focus on data accuracy and document control. Excellent organizational skills and the ability to manage multiple priorities and deadlines. Strong problem-solving skills with the ability to identify issues and propose practical solutions. Proficiency with business applications and systems, including Microsoft Office, Adobe Acrobat, Intelex, Tableau, and Smartsheet. Experience developing dashboards, reports, and system templates to support performance tracking and reporting. Adaptability and the ability to quickly learn new systems and technologies related to quality and data management. Knowledge of Quality Management Systems, Quality and Food Safety (QFS), regulatory requirements, document control, labeling, and specifications. Additional Skills & Qualifications background or coursework in food science, nutrition, regulatory affairs, or related disciplines. Experience supporting certifications such as Kosher, Organic, Non-GMO Project, and Gluten Free. Familiarity with KPI tracking and performance reporting for quality and food safety functions. Experience working with digital platforms and databases in a fast-paced, evolving environment. Ability to build and improve processes and tools that support continuous improvement and automation. Work Environment This is a 6-month contract-to-hire opportunity offering a structured yet dynamic work setting focused on Quality Management Systems and Quality & Food Safety initiatives. The standard schedule is Monday through Friday, 8:00 AM to 5:00 PM. Local candidates follow a hybrid work model of three days onsite and two days remote, with remote work typically on Mondays and Fridays and onsite work Tuesday through Thursday at the Lakeville office. Job Type & Location This is a Contract to Hire position based out of Lakeville, MN. Pay and Benefits The pay range for this position is $25.00 - $36.00/hr.
