Quality and Data Manager Reports to: Senior Program Director Hours: FT Position, exempt, flexible schedule. Monday – Friday. May need to work weekends as needed. Location: Hybrid: Remote and Main Campus in Emsworth HFI Mission Duties: Holy Family Institute (HFI) is a 125-year-old Catholic organization with an impeccable history of serving children and families in the Pittsburgh Region. We are one of Pittsburgh’s largest social service organizations operating 15 programs in three counties. We are an independent organization guided by Catholic Social Teachings and serving people of all faiths and backgrounds. General Statement of Duties: The Quality and Data Specialist will be part of the HSPRS Quality and Compliance Team (QCRS). Collect data, which includes using surveys, excel trackers, HFI electronic Health System, interviews, and other methods to gather data and enter it into reports, databases or spreadsheets. The employee will design and implement data collection methods, which include developing surveys, questionnaires, and other forms of data collection, as well as determining the sample size and sampling method. In addition, the employee will analyze and interpret data, which includes using statistical techniques to analyze the data and interpret the results to identify trends, patterns, and relationships. Furthermore, the employee will report and present findings, which include creating reports and visualizations, as well as summarizing and communicating the data and findings to stakeholders, such as managers and clients. Essential Functions: Contributes to the development, implementation and monitoring of program policies and procedures related to quality and data analysis. Manage and prepare reports for the Program Director, for ORR, for the Risk, Quality and Compliance Department among others. Support and supervise the HSPRS QCRS team and be ready to cover for a QCRS team member Prepare audit reports specific to internal weekly, biweekly, monthly or quarterly audit, program expectations, and corrective actions. Prepare quality indicators, data spreadsheets, and reports for statistical analysis, and, for distribution to program leads, ORR and HFI quality and Department. Work with all staff to develop and monitor quality improvement initiatives. Assist directors and administrators in their outcomes reporting, benchmarking, and other quality related responsibilities. Reviewing and collecting data from program leads related to logic model goals. Collect program related data specific to current logic models. Complete and analyze program data monthly, quarterly and annually. Identify trends and analysis across all programs and report out through universal report out tool. Conduct audit/monitor compliance across the program. Responsible for assisting with the reaccreditation process of the Council on Accreditation (COA). Provide training for Ethics, Fraud, HIPAA, and PQI and other topics as needed. Help develop and maintain the client satisfaction survey distribution process across the program. Collect and report out all data from the client satisfaction survey, compile quarterly reports. Remain current with excel, Microsoft Office, and relative reporting tool training and seek out additional training as needed for continual development Participates in all required agency and regulatory training within expected time frames. Works collaboratively with staff, children, families, service providers, and others. Promptly reports civil or criminal convictions, charges, arrests, investigations, or adjudications that may arise since staff member’s last background investigation. This includes but is not limited to sexual abuse in a prison, jail, holding facility, community confinement facility, juvenile facility, other institution (as defined in 42 U.S.C. 1997), or care provider facility; conviction of engaging or attempting to engage in sexual activity facilitated by force, overt or implied threats of force, or coercion, or if the victim did not consent or was unable to consent or refuse; or who was civilly or administratively adjudicated to have engaged in such activity. Completes other duties as assigned by supervisor. Minimum Requirements Bachelor’s Degree in field related to Social Services or Human Resources preferred. 2-3 years’ experience in social services or human resources preferred. Excellent written and verbal communication skills. High degree of proficiency with all Microsoft Office Applications. Knowledge of accreditation/regulatory bodies, such as COA, DHS, and PDE. Knowledge of and experience with a continuum of Mental Health/Social Service programs. Proven ability to demonstrate analytical and decision-making skills. Ability to work as part of a team as well as independently, to prioritize and manage multiple tasks effectively, to organize workflow, to adhere to timelines, and to function in a fast-paced environment. Demonstrated ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
