Our client is an Australian migration and legal services firm that assists individuals and families with a wide range of Australian visa and migration matters. Working closely with registered migration agents and solicitors, the firm provides professional support throughout the migration process, from document preparation and visa applications to ongoing case management. The team is committed to delivering accurate, client-focused services while ensuring compliance with Australian migration legislation and Department of Home Affairs requirements.


About the Role


We are seeking a Registered Migration Agent and Solicitor Assistant to provide remote support to our client's Australian Registered Migration Agents (RMAs) and solicitors with migration, legal and administrative work.


The successful candidate is not required to be a Registered Migration Agent or Australian solicitor. This is a support role where you will work under the direction and supervision of Australian RMAs and solicitors.

The ideal candidate will be confident communicating with clients, highly organised, comfortable working with technology and able to learn new processes and systems quickly. We are also looking for someone who can think independently, take initiative and work collaboratively with different members of the team.


Location Requirement: Candidates must be currently based in the Philippines and able to work remotely with an Australian-based team.


Key Responsibilities


  • Prepare customised document checklists based on each client's visa application and individual circumstances.
  • Organise, review and maintain client documents to ensure completeness, accuracy and compliance with Department of Home Affairs requirements.
  • Communicate with clients professionally to obtain required information, supporting documents and application updates.
  • Coordinate with clients and follow up on outstanding documents, information and other matters to ensure applications progress efficiently.
  • Draft personal statements, Genuine Student statements, relationship statements and other supporting documents for visa applications under supervision.
  • Complete and prepare visa application forms through the Department of Home Affairs' ImmiAccount system under supervision.
  • Conduct preliminary assessments of client eligibility and identify missing information, inconsistencies or potential application risks for review by senior staff.
  • Liaise with Registered Migration Agents, solicitors and internal team members to facilitate the efficient progression of client matters.
  • Assist with the preparation, lodgement and post-lodgement management of visa applications, including responding to requests for further information.
  • Progressively manage Visitor, Student and Partner visa applications under the supervision of Registered Migration Agents and solicitors.
  • Assist with paperwork and administrative tasks relating to education and visa applications.
  • Maintain accurate client records and case files in the firm's case management system while ensuring confidentiality and privacy requirements are followed.
  • Use CRM platforms, case management systems and other software to manage client information and case progress.
  • Utilise technology and AI tools, including ChatGPT, where appropriate to support research, drafting, administration and day-to-day tasks.
  • Identify and resolve routine issues independently where possible, while escalating more complex matters to the appropriate team member.
  • Keep up to date with relevant Australian migration legislation, policies and Department of Home Affairs procedures.
  • Work closely with different team members to ensure effective coordination, communication and progression of client matters.
  • Provide professional bilingual client support in English and Mandarin Chinese.


Skills and Requirements

  • Must be currently based in the Philippines.
  • Strong written and verbal communication skills in English are essential.
  • High-level Chinese/Mandarin communication skills are a must due to the firm's client base.
  • Previous experience in migration, legal services, visa processing, education, administration or a related field is preferred.
  • Experience with Australian visa applications and/or ImmiAccount is highly desirable.
  • Strong client communication and coordination skills, with the confidence to communicate professionally with clients and follow up matters appropriately.
  • Excellent attention to detail and organisational skills.
  • Ability to manage multiple client matters simultaneously, prioritise tasks and meet deadlines.
  • Strong learning ability and willingness to undergo training on the firm's processes, systems and procedures.
  • Ability to understand new information quickly and apply knowledge effectively in practice.
  • Comfortable using technology and able to quickly learn new software, CRM platforms, case management systems and other digital tools.
  • Familiarity with ChatGPT and other AI tools is advantageous.
  • Strong problem-solving skills, with the ability to think independently, take initiative and attempt to resolve day-to-day issues rather than relying on constant instruction.
  • Ability to work independently while following instructions and guidance from Registered Migration Agents and solicitors.
  • Strong teamwork, coordination and internal communication skills.
  • Ability to respond promptly to internal requests and maintain smooth communication with team members.
  • Proficiency in Microsoft Office Suite and general office applications.
  • High level of professionalism, confidentiality and discretion when handling sensitive client information.

  • Professional and discreet – understands the importance of confidentiality when handling sensitive client and legal information.


Important Note


  • This position is intended for an overseas support team member based in the Philippines. The successful candidate does not need to be a Registered Migration Agent. They will provide migration, legal and administrative support to the Australian team and will work under the appropriate supervision and direction of the firm's Registered Migration Agents and solicitors.


Pay: Php30,000.00 - Php70,000.00 per month
