Registrar Systems Specialist FL - Main Campus - Lakeland, FL 33801 Apply Overview Level Experienced Position Type Full Time Job Shift Day Education Level Bachelor's Degree Travel Percentage None Category Information Technology Apply Description JOB SUMMARY The Registrar Systems Specialist supports the optimization and maintenance of registrar technologies, ensuring the efficient and accurate operation of various systems. This role is responsible for assisting in the management of registrar systems, data integrity, and user support. The Specialist will collaborate with other departments to ensure seamless technical initiatives, perform system updates, generate reports, and assist with catalog and curriculum changes. The position requires attention to detail, problem-solving skills, and a proactive approach to learning. ORGANIZATIONAL RELATIONSHIPS Reports to: Assistant Director of Registrar Systems Supervisory Responsibility: N/A Indirect Supervisory Responsibility: N/A ESSENTIAL DUTIES - May include, but is not limited to the following: Systems & Data Operations Support: Assist in the daily operation and maintenance of registrar systems. Support the Assistant Director in managing system configurations and settings. Assist with data integrity checks and ensure accurate data entry. Help generate and maintain various registration and academic reports. Provide end-user support for registrar technologies and system tools. Assist in training new staff and student workers on system usage and functionality. Assist in project management initiatives in the Office of the Registrar Current registrar systems include: Jenzabar One, J1 Web, Coursedog, National Student Clearinghouse, Parchment, TES, Freedom, Acadeum, AppExtender, and Asana. Catalog & Curriculum Support: Assist in processing curriculum changes for catalog updates. Support the Catalog & Curriculum team in maintaining accurate program data. Help liaise with web designers to update forms and web pages. Report Generation & Registration Suppor t: Assist in generating and distributing registration reports. Conduct data analysis and report writing as needed. Other Responsibilities: Support cross-departmental technical initiatives and system upgrades. Serve as a liaison for the Registrar's Office technology needs with IT. Provide administrative support for system implementations. Perform other duties as assigned by the Assistant Director or Registrar. ADDITIONAL/NON-ESSENTIAL DUTIES All remaining duties are considered "nonessential" within the context of the ADA, which means that the function could be reassigned to another employee in order to allow a disabled individual to hold the position. Alternatively, the manager could try to provide a reasonable accommodation so that the disabled individual could perform the function. LOCATION Main Campus Hybrid (some remote, some main campus, and/or some other physical location) Qualifications EDUCATION Required Education: Bachelor's in related field. Preferred Education: Master's in related field. LICENSES/CERTIFICATIONS N/A EXPERIENCE Required: Experience with Student Information Systems or related technologies. Experience in data entry and report generation. Preferred: Experience with Jenzabar, Coursedog, or similar higher education technologies. Experience in higher education administration or registrar systems. Familiarity with end-user training and system support. KNOWLEDGE, SKILLS, AND ABILITIES Required: Proficiency in Microsoft Office and Google Suite. Basic understanding of SQL and data management. Strong attention to detail and accuracy. Ability to work independently and in a team environment. Preferred: Strong communication skills and ability to collaborate across departments. Ability to quickly learn new systems and technologies. Experience with data analysis and reporting tools. WORK ENVIRONMENT All employees are responsible for maintaining an environment that is free from discrimination, intimidation, harassment, including sexual harassment. This position is in a busy, open office, shared space environment Physical Requirements: Ability to sit for extended periods of time and work at a computer workstation. Ability to travel to and assist with campus meetings and events, including graduation. Manual dexterity to operate standard office equipment, including a computer keyboard, mouse, telephone, and copier. Visual acuity to read printed materials and computer screens. Occasional standing, walking, bending, or reaching may be required. Ability to occasionally lift and carry up to 20 pounds (e.g., files, office supplies, or equipment). Ability to communicate clearly and effectively in person, over the phone, and via electronic communication. Ability to assist students, faculty and staff, responding to inquiries in person, by telephone and via email. Travel: N/A Schedule: M-F 8am to 4:30pm TRAINING All new hires and employees transferring into a new position will have a 90-day probationary period within which to learn the functions of the job and to be evaluated. Following the probationary period, the employee can transition to regular status, have the probationary period extended in order to receive more training, or employment can be terminated. Required compliance training is as follows: Three to six months to learn job details. One year to perform all job-related duties with minimal supervision. Employees are responsible for completing assigned tasks safely and efficiently, and supervisors are responsible for creating and maintaining a safe work environment. Employees must report any unsafe work conditions or practices, as well as any near-miss incidents, to their supervisor and Risk Management. Work-related injuries must be immediately reported to Security and Human Resources. When life or limb are at risk, please dial 911. Supervisors and employees should ensure that injury/accident reports are submitted to the Office of Human Resources within 24 hours of the incident. Emergency Employees report for or must remain at work in emergency situations. Dismissal or closure announcements do not apply to this position, unless instructed otherwise by your direct supervisor or a member of the Leadership Team. SCREENING All full-time positions at SEU are deemed security-sensitive and require background checks. Employees required to drive their own personal vehicle, a rental car or an SEU vehicle in performance of their duties must pass an MVR records check and meet the requirements of the University’s insurance carrier in order to meet the requirements of the position.
