The Screening Processing Coordinator is responsible for executing the end-to-end administrative and physical handling process for fingerprint cards and related Bureau of Criminal Apprehension private searches. This part-time role supports internal screening operations by preparing fingerprint cards, coordinating card distribution and return, reviewing completed cards and consent forms for accuracy, hand-delivering submissions to the BCA St. Paul Fingerprint Office, tracking results, posting results into the TE system, and securely handling physical documentation. The position is process-driven, highly documented, and focused on accuracy, timeliness, confidentiality, and reliable execution rather than client-facing support. Reporting Structure Reports to: Senior Manager, Screening Operations Schedule & Work Location & Pay Part-time position: 24 hours per week Working hours: Monday, Wednesday, and Friday, 8:00 AM - 4:30 PM CST/CDT Work is primarily performed in office, at the BCA, and through local courier/mail handling activities Must be located in the greater St. Paul, Minnesota area Must have reliable personal transportation and the ability to make frequent trips between the BCA and office Non-Exempt Hourly $20.00-$23.00 Key Responsibilities Fingerprint Card Procurement & Preparation Obtain stamped fingerprint cards from the BCA as needed to support ongoing screening volume Prepare fingerprint cards by completing applicant and client information using established hand-written and stamped processes Follow documented procedures to ensure cards are prepared accurately before distribution Card Distribution, Collection & Consent Tracking Mail prepared fingerprint cards in bulk to applicants or client sites according to process requirements Coordinate return of completed fingerprint cards from local applicants, office drop-offs, and designated client pickup locations Confirm required consent forms accompany each card and monitor the 30-day expiration window from date of signature Escalate or route renewal needs when consent forms are missing, incomplete, or at risk of expiration Quality Review & Issue Resolution Review completed fingerprint cards and consent forms for accuracy, completeness, required signatures, and readiness for submission Identify missing or incorrect information and coordinate resolution with internal resources, applicants, or client contacts as needed Request corrected or replacement cards when documentation defects prevent submission Maintain careful attention to personally identifiable information (PII) throughout review, handling, storage, and mailing BCA Submission, Tracking & Results Processing Hand-deliver fingerprint cards to the BCA St. Paul Fingerprint Office for processing Plan and execute repeat BCA trips as needed based on daily processing limits, batch volume, and cards requiring follow-up Track cards in flight, pending submissions, returned items, and outstanding results using established internal tracking processes Manually post fingerprint results into the TE system when received Scan and attach documentation to the appropriate record, then securely dispose of physical cards according to process requirements Process Compliance & Risk Control Follow documented procedures to reduce delays, rejected cards, rework, and consent-form expiration risk Support chain-of-custody expectations for fingerprint cards and related PII during transit, storage, scanning, and disposal Maintain accurate records of card status, submission timing, result receipt, and completion steps to support auditability Communicate process exceptions, bottlenecks, or risks to internal stakeholders promptly and clearly Required Skills & Qualifications High school diploma or equivalent required Must be located in the greater St. Paul, Minnesota area Reliable personal transportation required, including ability to make frequent trips between the office and BCA Ability to work the required part-time schedule: Monday, Wednesday, and Friday, 8:00 AM - 4:30 PM CST/CDT Basic computer proficiency, including ability to enter data, scan documents, attach files, update tracking records, and use internal systems Strong attention to detail and ability to follow established, documented procedures consistently Minimum critical thinking and problem-solving skills needed to identify missing information, incomplete documentation, expired consent forms, and process exceptions Ability to handle confidential information and PII with care and discretion Dependable, organized, and comfortable performing repetitive administrative tasks with accuracy Ability to physically handle, stamp, scan, mail, transport, and securely dispose of paper documents Preferred Qualifications Prior experience in an administrative, records processing, mailroom, courier, compliance support, or operations support role Experience working with confidential documents or personally identifiable information Experience using tracking systems, spreadsheets, or case-management tools Familiarity with structured process documentation, checklists, or audit-sensitive workflows Additional Notes No prior experience with fingerprinting, BCA private searches, employment screening, or the screening industry is required Minimal client communication is expected; the role primarily supports internal resources and process execution The role is entirely focused on the fingerprint card and BCA private search process About Us From the day we opened our doors, MRI Software has built flexible, game-changing real estate software that powers thriving communities and helps make the world a better place to live, work and play.
