Position Description The Senior Associate, Operations, Foundation Partnerships provides critical operational support to the Foundation Partnerships team by coordinating grants management processes, strengthening internal operations, and ensuring seamless collaboration across departments. Serving as a central point of coordination, the role supports the operational execution of the team's portfolio by managing workflows, facilitating compliance and financial processes, maintaining accurate documentation, and helping ensure grants and related activities progress efficiently and effectively. Working in close partnership with the Director and Assistant Director of Operations, relationship managers, and cross-functional stakeholders, the Senior Associate helps streamline processes, improve information sharing, and enhance the team's operational effectiveness. The role also supports strategic planning and partner engagement efforts through knowledge management, research, coordination of team activities, and the development of materials and resources that enable the Foundation Partnerships team to achieve its fundraising and partnership goals. Position Responsibilities Partnership Support and Stewardship (50%) Ensure timely execution of grant/sub-award agreements and entry/updating of project records in the grants management database while overseeing various systems for managing and tracking key phases in the life cycle of grant-funded programs. Facilitate the grants management process in coordination with Foundation Partnerships relationship managers and key UNICEF USA departments. These processes include initiating and monitoring due diligence procedures and legal reviews, facilitating pledge and payment recording/documentation and transfer of funds, and updating grant documents. Ensure consistent and streamlined administrative and financial processing and workflow. Liaise with finance and compliance personnel on legal, procedural and financial issues regarding sub-granting/contracting processes. Review and prepare initial grant proposal budgets and initial grant financial reporting. Manage workflows and tracking processes for all grant/sub-grant agreements, invoice/DSA/reimbursements, payment requests, and grant/project/budget revisions. Maintain and coordinate information surrounding partner activations, events and engagements. Conduct high-level prospect research and landscape analyses, utilizing a variety of software and tools. Monitor and communicate foundation sector and partner-specific trends to the Foundation Partnerships team. Contribute to development of thematic and prospect strategies. Create partner engagement materials (presentations, concept notes, one-pagers, briefing notes). Prepare or collect meeting notes and presentation materials. Other duties as assigned Team Coordination, Administration and Cross-Functional Collaboration (50%) Provide scheduling and calendar support for team-wide events. Assist with team and partner meeting coordination and preparation. Maintain team guidance and process documents and periodically audit adherence to these processes. Maintain and improve the team’s knowledge information systems. Collaborate with cross-functional teams (i.e. Marketing and Communications, Global Programs, Legal, Grants Management/Finance) to further the success and goals of the Foundation Partnerships team. Act as the Foundation Partnerships team’s main liaison to some of these teams. Participate in training new staff and provide onboarding support. Support on administrative tasks, such as note taking, building and preparing analytic reports, designing presentations and reporting out on key internal/external meetings and information-sharing sessions on behalf of the team. Capture and track impact data and topline narrative points from grant reports. Coordinate learning sessions, grant close out de-briefs and other learning-focused sessions for Foundation Partnerships, UNICEF USA and UNICEF PFP. Support overall coordination and collaboration structures across decentralized partnership portfolios as needed. Proactively identify opportunities to improve team efficiency, systems and processes. Other duties as assigned Qualifications: A bachelor’s degree with three to four years of experience Strong organizational skills with attention to detail Demonstrated ability managing competing priorities and deadlines from different task owners Experience working with program finances and budgets Experience utilizing Microsoft Excel, especially the ability to utilize common functions/formulas Strong written and oral communication skills Ability to learn and adapt as needed
