Job Summary: The Senior Workplace Specialist is responsible for delivering an exceptional workplace experience by overseeing office operations, facilities management, employee onboarding and offboarding, workplace services, and event support. This role serves as a key liaison between employees, business lines, workplace service providers, and facility contractors to ensure a safe, efficient, and engaging work environment aligned with AECOM's operational and employee experience objectives. Responsibilities: Workplace Experience & Event Support Collaborate with Business Lines, Employee Engagement (EE) teams, Connect Teams, and other internal committees to maximize the utilization of office spaces. Coordinate meeting rooms, collaboration spaces, and event venues to support business events, employee engagement activities, and corporate initiatives. Proactively identify opportunities to enhance workplace experience and employee satisfaction. Front of House Operations Oversee daily Front of House operations, including reception services and visitor management. Ensure a professional, welcoming, and customer-focused experience for employees, visitors, and clients. Develop and implement service improvements to enhance workplace hospitality. Cleaning & Workplace Hygiene Manage office cleaning services and pest control programs. Conduct regular service reviews and inspections to ensure workplace cleanliness and hygiene standards are maintained. Coordinate corrective actions with service providers and stakeholders as necessary. Facilities & Maintenance Management Coordinate and oversee all office maintenance activities and facilities-related services. Manage relationships with maintenance contractors and service providers, ensuring compliance with contractual obligations and service level agreements (SLAs). Monitor and ensure compliance with health, safety, and environmental requirements within the workplace. Conduct regular inspections and follow up on corrective and preventive actions as required. Smart Building & Workplace Reporting Monitor and maintain workplace-related IoT systems and solutions. Prepare and analyze workplace, occupancy, and facilities-related reports utilizing IoT and other workplace management platforms. Provide data-driven insights and recommendations to optimize workplace utilization and operational efficiency. Employee Onboarding & Offboarding Coordinate workplace onboarding and offboarding activities for all employees joining or leaving AECOM. Ensure timely provision and recovery of workplace-related assets, access cards, seating arrangements, and office orientation. Partner with HR, IT, Security, and business stakeholders to deliver a seamless employee transition experience. Bachelor's degree in Facilities Management, Business Administration, Hospitality Management, or a related discipline preferred. 3 years of experience in workplace, facilities, office operations, hospitality, or corporate services management. Experience managing vendors, contractors, and workplace service providers. Understanding of workplace operations, facilities management, and health & safety practices. Strong organizational and project coordination abilities. Customer-service mindset with a focus on employee experience. Ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, and Teams.
