Cooley Dickinson Plastic Surgery is seeking a full-time Surgical Scheduler to join our busy, collaborative practice in downtown Florence, MA. This is an opportunity to work closely with surgeons, physician assistants, patients, and insurance providers while supporting life-enhancing reconstructive and cosmetic care in a modern, conveniently located office. Why This Role Stands Out • Full-time, 40-hour schedule: Monday through Friday, 8:30 AM to 5:00 PM. • Support a respected Plastic Surgery practice focused on restoring and enhancing form and function in the least invasive way possible. • Serve as a key point of contact for patients navigating surgical care, insurance requirements, appointments, and next steps. • Work in a spacious, modern office at 40 Main Street in downtown Florence, minutes from Cooley Dickinson Hospital and downtown Northampton. • Join a collaborative team where strong communication, organization, and service excellence make a meaningful difference every day. What You’ll Do As the Surgical Scheduler, you will coordinate complex surgical cases from consultation through postoperative follow-up, ensuring patients, providers, and referring offices receive timely, accurate, and high-quality support. You will manage scheduling details, gather required documentation, coordinate insurance authorizations, and help patients understand what to expect throughout the process. • Schedule surgical procedures and coordinate related pre- and post-operative appointments. • Obtain insurance authorizations and collect necessary medical records, referrals, and supporting documentation. • Support self-pay cosmetic cases and help ensure clear communication around scheduling requirements. • Receive incoming communication and online requests from patients and referring providers seeking access to care. • Complete patient registration and scheduling processes accurately and in accordance with department procedures. • Answer calls, triage requests, take detailed messages, and provide professional, courteous service. • Maintain accurate documentation across systems while protecting patient confidentiality and privacy consistent with HIPAA guidelines. Qualifications What We’re Looking For The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced medical office environment. Prior surgical scheduling experience is strongly valued, along with a commitment to excellent patient service and teamwork. High School Diploma or equivalent required. Customer service experience, including contact or call center experience, required. Medical office or health care setting experience preferred. Epic experience preferred. Strong communication, interpersonal, and teamwork skills. Ability to manage sensitive and confidential information with sound judgment. Comfort using Microsoft Outlook, Excel, data entry tools, and electronic scheduling systems. Ability to work accurately while handling a high volume of calls, requests, and scheduling details.
