Talent and HR Operations Senior Specialist
(Based in Dublin)

PRINCIPAL ACCOUNTABILITIES

Talent Acquisition management

  • Provide talent acquisition support to line managers, deciding route to market, customizing interview materials and coordinating interviews.
  • Create and manage new job requisitions and manage postings on World Rugby Career Page, Linked in and other job websites
  • Screen CVs and conduct first round interviews with applicants
  • Maintain Recruitment Module and templates in SuccessFactors and World Rugby Career Page
  • Conduct pre-employment reference and identity checks

Employee life cycle process management

  • Lead new hire and onboarding processes including inductions
  • Create and manage all employment-related life cycle documentation e.g. contracts of employment, employment references, changes in job terms, etc.
  • Maintain and administer life cycle events in Success Factors
  • Administer employee leave requests including TOIL, family leave and sick leave requests.
  • Support employee data reporting requirements
  • Manage off-boarding processes
  • Manage the People Team Help Desk – responding to queries or routing to appropriate specialists
  • Provide input for continuous improvements to existing HR systems, processes and procedures

Learning and development coordination

  • Manage enrolment in the Learning Management System (LMS)
  • Review LMS content for suitability for employee groups
  • Support the HR Director in establishment and maintenance of learning paths in the LMS
  • Support LMS reporting requirements
  • Coordinate student programs and employee activities

Benefit process administration

  • Support Payroll and Benefit Manager on specified projects/ processes

Other Department administration

  • Support HR Director and People Team with other projects and administrative tasks

QUALIFICATIONS & EXPERIENCE

Essential:

  • Proven track record in Human Resources with 5+ years of experience across HR Administration AND Talent Acquisition.

  • Proven success working in a fast paced, multinational organisation, working across multiple time zones using a global HRIS system e.g. Success Factors, Workday, etc.

  • At least 2 years experience in talent acquisition with responsibility for screening and assessing applicants

  • Familiar with administration of HR policies e.g. Time Off (annual leave, family leave, sickness absence), Disciplinary & Grievance, Dignity at Work, etc.

  • Familiar with key employment legislation e.g. Terms & Conditions of Employment, Working Time Act, Family Leave Act. etc.

  • Skilled in excel and mail merges

Flexible Working:

Most of our roles offer hybrid working. We ask colleagues to work:

  • Three (3) days a week “out of home”. Two (2) “core” office days (Tuesday & Wednesday) and a third day of your choice to be with stakeholders. “Out of home” can mean working in a World Rugby office/hub, working from a venue or face to face meetings with partners/suppliers/agencies/teammates or other rugby family stakeholders.
  • The remaining two (2) days are flexible to work from home (or the office). This applies to our Dublin & London offices.
