Job description:

As a Tanzania Travel Planner, you will be the first point of contact for our travelers and serve as the business card of Arusha Trips. Each day, you’ll engage in enjoyable, personal conversations with travelers who share your passion for exploration. Your goal? To help them realize their dream trip.


During these conversations, you’ll share your in-depth knowledge and love for Tanzania, listening closely to each traveler’s specific wishes. Based on these insights, you'll offer expert advice and design tailor-made itineraries that perfectly match their expectations.


You will be responsible for preparing, pricing, developing, and, of course, selling custom adventure trips to one of the world’s most breathtaking safari destinations. For every traveler, you’ll craft a detailed and personalized travel proposal.


In short, you will guide our travelers from start to finish through the entire planning process. You’ll answer their questions, schedule follow-up meetings to review itineraries, make any necessary adjustments, and ensure they’re fully satisfied and ready to book their trip.


In addition to working directly with travelers, you’ll also contribute to the growth of the company by helping to develop new travel itineraries and creating content for our website.


This role requires a solid understanding of Tanzania’s safari parks, geography, and wildlife. You should also be familiar with the various routes to climb Mount Kilimanjaro, local cultural activities, and the stunning island destinations that are part of Tanzania. A good grasp of Tanzania’s nature, culture, climate, and seasonal highlights—such as the Great Migration—is important. However, don’t worry if you don’t know everything from day one. There will be plenty of opportunities to learn on the job.

Duties and Responsibilities:

  • Respond promptly and professionally to new travel inquiries via email, phone, and video calls.
  • Engage in personal, one-on-one conversations with travelers to understand their wishes, interests, and budget.
  • Provide expert advice and recommendations on safari destinations and their wildlife, Kilimanjaro climbing routes, Tanzania’s island getaways, local activities, seasonal highlights, travel distances, and key natural events.
  • Design custom safari itineraries tailored to the unique needs and expectations of each traveler.
  • Accurately calculate each travel proposal, factoring in seasonal rates, accommodation costs (including rooms and meals), national park fees, activities, domestic and international flights, vehicle and guide rentals, and other relevant expenses.
  • Prepare detailed, personalized travel proposals including day-by-day itineraries, quotes, and travel information.
  • Schedule follow-up conversations with customers to review proposals, answer questions, process changes, and finalize bookings.
  • Track all customer communication and process booking data within our system.
  • Coordinate with local partners, lodges, and transport providers to arrange accommodations, activities, and logistics.
  • Collaborate with team members to ensure seamless coordination and execution of each customer’s journey.
  • Stay current with industry trends, conservation initiatives, accommodation offerings, and travel regulations related to safari tourism in Tanzania.
  • During quieter periods, contribute by writing or optimizing website content (with a focus on SEO), participating in meetings to develop new business strategies, improving internal processes, and helping create new travel products and experiences.

Our Ideal Candidate Has the Following Qualifications and Skills:

  • A bachelor’s degree in Tourism, Hospitality, or a related field is preferred.
  • Previous experience in (safari) tourism, travel planning, or customer service is highly desirable.
  • Fluent in both English and Dutch; proficiency in additional languages such as French, German or Spanish is a plus.
  • Excellent listening and communication skills, both written and verbal.
  • Strong numerical and calculation skills, with proficiency in Excel or Google Sheets (including basic formulas and data management).
  • In-depth knowledge of Tanzania, including national parks and local wildlife, Kilimanjaro trekking routes, beach destinations, and local culture — or a willingness to learn.
  • Good writing skills, with the ability to create website content and a basic understanding of SEO and WordPress.
