Posted Thursday, August 13, 2026 at 4:00 AM SUMMARY The Training Specialist, Transfer Agency is responsible for the development, facilitation, and coordination of Ultimus’ formal training programs for the Account Services and Control Accounting teams. Additionally, this role also manages the creation and delivery of training materials, tracks required associate trainings and certifications and ensures effective execution of all training initiatives. KEY ACCOUNTABILITIES Designs, develops, updates, and delivers high-quality training materials and programs, including presentations, job aids, quick reference guides, e-learning modules, and video content. Leads and coordinates the Account Services and Control Accounting training program, ensuring alignment with business needs and organizational goals. Evaluates training effectiveness through surveys, feedback, and performance metrics; provides insights, reporting, and recommendations for continuous improvement to leadership. Partners with internal teams and stakeholders to identify training needs related to new hires, process updates, system implementations, and organizational changes, ensuring timely and relevant training solutions. Develops and manages the training calendar to ensure efficient planning, coordination, and delivery of training initiatives. Supports new associate onboarding by creating and executing customized training plans to ensure successful integration and role readiness. Maintains accurate records of associate training progress, certifications, and completion to ensure compliance and tracking. Develops and maintains training documentation, including internal guidelines and standard operating procedures, to support consistency and knowledge sharing. Stays current on Account Services and Control Accounting processes, systems, and industry trends to ensure training content remains accurate and relevant. Actively pursues professional development through educational opportunities, internal training, and networking to enhance training effectiveness and expertise. WORKING RELATIONSHIPS Mentors associates through instruction, coaching, providing real-time on-the-job experiences, modeling effective practices, and advising on methods used. Collaborates with key stakeholders to design, enhance, and continuously improve training materials and programs, incorporating feedback and supporting training logistics (e.g., technology and setup). Communicates with internal teams to address training-related inquiries, resolve issues, and support reporting needs. May perform other duties as required and assigned. EDUCATION AND EXPERIENCE Associate’s degree in communication, accounting, or similar field. 5-10+ years of experience in Mutual Funds processing with training experience or similar background. Equivalent education, experience, and KSA’s will be considered. KNOWLEDGE Online learning resources. Microsoft Office Suite. Adobe Acrobat. SKILLS AND ABILITIES Advanced technical skills with the ability to provide effective virtual training sessions (e-learning, training videos). Excellent client service skills with an aptitude to maintain strong intercompany relationships. Dedication and motivation to achieve ambitious standards of professionalism in the performance of duties. Develops strong relationships with Ultimus Management. Aligns associates with company values and goals. Plans and delegates the work of others. Motivates and inspires others. Assesses the performance of self and associates to make improvements or take corrective action. Plans and develops systems and procedures to improve operating quality and efficiency of department in accordance with company policies and procedures. Troubleshoots issues utilizing creative and critical thinking skills. Multitasking, analytical, and organizational skills. Initiative-taking, strategic, and meticulous approaches with a strong commitment to quality, efficiency, and effectiveness. Demonstrates personal integrity, responsibility, and accountability. Effectively uses resources such as time and information in conjunction with associates. Participates in solving problems and making decisions. Presents and expresses ideas and information, written and oral, clearly, and concisely. Actively listens to others to achieve understanding and supports an open exchange of ideas and information. Identifies needs, arranges for, and obtains resources to accomplish individual and department goals. Establishes and develops effective working relationships with associates and clientele during both favorable and unfavorable situations. Modifies team and individual priorities and deadlines in response to added information, changing conditions, or unexpected obstacles and ensures completion.
