Job Summary KDCI Outsourcing is seeking an experienced Talent Acquisition Coordinator to support the day-to-day operations of our Talent Acquisition team. This role is responsible for coordinating interviews, managing complex scheduling, maintaining accurate candidate records, and ensuring a seamless candidate experience throughout the recruitment process. The ideal candidate has experience supporting U.S.-based recruitment teams, excels in a fast-paced environment, and is highly organized, proactive, and detail-oriented. Key Responsibilities Interview Coordination & Scheduling Coordinate and schedule interviews involving candidates, recruiters, hiring managers, executives, and interview panel members. Manage high-volume and complex interview schedules across multiple calendars and time zones. Serve as the primary point of contact for interview logistics and candidate scheduling inquiries. Confirm interview schedules and communicate complete interview details to candidates and stakeholders. Prepare virtual meeting links, coordinate conference rooms, and ensure all interview requirements are in place. Recruitment Operations Maintain accurate and up-to-date candidate records within the Applicant Tracking System (ATS). Update candidate statuses, monitor interview progress, and ensure recruitment data is complete and accurate. Partner closely with recruiters to move candidates efficiently through the hiring process. Proactively identify scheduling conflicts and resolve issues before they impact the recruitment timeline. Follow up on interview feedback and outstanding hiring team requirements. Support candidate communications, offer coordination, and pre-employment requirements. Reporting & Process Support Assist with recruitment reporting and monitor interview activity, turnaround times, and candidate pipeline movement. Maintain recruitment trackers, dashboards, and operational reports. Identify opportunities to improve scheduling workflows and standardize recruitment processes. Provide administrative and operational support for career fairs, hiring events, and other Talent Acquisition initiatives. Maintain confidentiality of candidate, employee, and company information. Perform other recruitment coordination and Talent Acquisition support duties as assigned. Job Requirements 3–5 years of experience in Recruitment Coordination, Talent Acquisition Operations, HR Coordination, or a similar role. Strong experience supporting U.S.-based recruiters, hiring managers, or Talent Acquisition teams . Proven experience managing high-volume and executive-level interview scheduling . Strong calendar management experience involving multiple stakeholders and time zones. Hands-on experience using Greenhouse, Lever, Workday, iCIMS, ADP Recruiting, or a similar Applicant Tracking System (ATS) . Strong understanding of candidate pipelines, interview workflows, ATS updates, and recruitment documentation. Excellent written and verbal English communication skills. Strong reporting skills using Microsoft Excel, recruitment dashboards, or similar reporting tools. Proficiency in Microsoft Outlook, Microsoft Office, Microsoft Teams, Zoom, and scheduling platforms. Strong organizational and project management skills. Excellent attention to detail and ability to maintain accurate recruitment records. Ability to manage multiple priorities, deadlines, and urgent scheduling requests. Strong problem-solving skills with the ability to resolve scheduling conflicts quickly. Comfortable working independently with minimal supervision. Full flexibility to work the required shift.
