Job Description: Job Duck is seeking a highly organized and personable Intake Specialist to support a growing Personal Injury law practice. In this role, you will be the first point of contact for prospective clients, guiding them through the intake process, qualifying leads, scheduling consultations, and helping convert qualified prospects into clients. You will work closely with the legal team to ensure prospective clients receive a warm, professional, and seamless experience from their first interaction with the firm. This position is ideal for someone with prior Personal Injury intake experience who communicates exceptionally well, understands the importance of attention to detail, and brings a collaborative, diligent, and client focused approach to their work. Monthly Compensation: Responsibilities include, but are not limited to: • Respond to prospective client inquiries and conduct intake calls. • Gather and accurately document relevant information from prospective clients. • Qualify leads based on the firm’s intake criteria. • Handle the intake process for prospective Personal Injury clients. • Explain the next steps in the intake process and answer general questions within the scope of the role. • Schedule consultations and other appointments as needed. • Guide qualified prospective clients through the onboarding process and assist with obtaining signed engagement agreements. • Accurately enter and maintain prospective client information in Neos. • Use Nextiva to manage and document telephone communications. • Assist with additional administrative and client communication tasks as assigned. • Communicate with prospective clients in a warm, professional, and empathetic manner. • Follow up with qualified leads to encourage completion of the intake process. • Maintain organized and up to date intake records. • Coordinate closely with the legal team to ensure qualified leads are properly transitioned for further handling. • Communicate relevant intake information clearly and efficiently to the appropriate team members. • Monitor pending leads and follow up on outstanding information or documentation. • Provide backup support to other team members when needed. • Maintain a consistently professional and client focused experience throughout every interaction.
