Job Title: Volunteer Co-ordinator – Islamophobia Response Unit (IRU)


Salary: £26,500 per annum (Full Time), A higher starting salary may be considered for candidates with substantial relevant skills and experience

Hours: 37 hours per week, full-time.

Duration: 12 months fixed term, potential to be extended.

Location: Remote (UK based)

Reports to: Employment Solicitor


About IRU

The Islamophobia Response Unit (IRU) is an independent UK charity providing confidential support to individuals affected by Islamophobia, discrimination and hate incidents. Through legal advice, advocacy, education and community engagement, the IRU works to challenge discrimination, protect rights and promote equality and inclusion.

OVERVIEW


The IRU is seeking a highly organised and detail-oriented Volunteer Co-ordinator to provide crucial administrative support to the legal casework and volunteer coordination arms of the organisation. This role is central to maintaining IRU’s operational excellence by managing case records, supporting volunteers (via monitoring, motivating and liaising with them), dealing with enquiries and monitoring case progression whilst contributing to data analysis and awareness-raising efforts. The role also includes actively improving existing systems, and where possible, streamlining processes, with the goal of ensuring a better service is delivered to the public.


The successful applicant will work closely with the CEO and other colleagues to ensure that cases arising from our helpline and other reporting channels are logged, tracked, and progressed efficiently. The role also includes maintaining and analysing key datasets, preparing reports, and assisting with case study development. Appropriate training on systems will be provided, as well as initial detailed supervision/guidance in the role.


KEY RESPONSIBILITIES


Volunteer Support and Co-ordination


  • Assist with recruiting volunteers, being part of the interview panel, processing applications and handling mandatory background checks.
  • Assist with designing and delivering volunteer orientation and training. Ensure all volunteers understand the IRU’s policies, code of conduct and ways of working.
  • Match volunteer skills and availability to cases including, posting new cases on Volunteero (volunteer management app) or other applications/platforms and assign cases using the IRU volunteer banding system.
  • Allocate cases to suitable volunteer caseworkers and legal supervisors.
  • Track volunteer activity and update volunteer records on Volunteero/other applications and case tracker.
  • Liaise with Volunteers regularly to keep them active and motivated, including Regional Ambassadors.
  • Monitor case progression, especially in the initial phase, using alerts and notifications on Action Step and other internal trackers.
  • Maintain and update volunteer, case, and supervisor trackers regularly including if needed, tracking data for reporting, funding and/or accreditation purposes.
  • Supervise volunteers, monitor their progress and provide regular feedback. Address any issue and foster an inclusive environment.
  • Provide volunteers with general case progression guidance via standardised email templates.
  • Follow up with inactive volunteers and assist in re-engagement as required.


Administration and Case Management


  • Acknowledge and respond to initial enquiries using standard templates.
  • Log all new cases, capturing key details and ensuring accurate data entry.
  • Create new matters on Action Step (case management system), conduct conflict checks, and prepare for initial legal assessment.
  • Send and follow up on ID and Client Care documents.
  • Monitor inactivity across cases. Escalation according to safeguarding policies.
  • Maintain up-to-date records on Action Step and related case trackers.


Data Analysis and Reporting


  • Collect and analyse key data such as case volumes, outcomes, gender breakdowns, and other demographics.
  • Produce visual reports and charts to assist with internal monitoring and external reporting.
  • Prepare statistical summaries for internal meetings, funders, and stakeholders.
  • Monitor trends in casework to inform strategic planning and advocacy.


Project Support and General Administration


  • Arrange and minute meetings as required.
  • If needed, assist in the delivery of IRU training sessions, workshops, pop-up clinics, and events.
  • Coordinate and file all project-related documentation.
  • Serve as one of the lead contacts for the IRU Helpline (as needed).
  • Support the CEO and legal team with meeting IRU's strategic targets and deliverables.


QUALIFICATION & SKILLS


Essential

  • 1-3 years of experience in volunteer co-ordination, human resources or community organising.
  • Proven experience in administrative roles or case management.
  • Excellent interpersonal, written and verbal communication skills to handle multi rotas and projects simultaneously.
  • Strong organisational skills and attention to detail.
  • Proficient in office software (Outlook, Word, Excel), case management systems and other data systems.
  • Ability to work both independently and as part of a team.
  • Proficient in understanding and managing confidential information.
  • Good understanding of data protection legislation and experience of communicating with vulnerable individuals.


Desirable

  • Experience in victim support or helpline services.
  • Understanding of the UK legal system, particularly in the context of discrimination or hate crime.
  • Familiarity with British Muslim communities and issues related to Islamophobia.


ADDITIONAL DUTIES

This job description is not exhaustive. The post-holder may be required to undertake other duties as reasonably assigned by the Chief Executive Officer and other senior colleagues, in line with the changing needs and priorities of the IRU.
