This role supports the day-to-day operations of the Water Division, helping coordinate projects, vendors, materials, staffing, and administrative processes. The ideal candidate is organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. Key Responsibilities Assist the Water Division Director with daily operations and departmental planning. Support the management of water-related projects from planning through completion. Coordinate project schedules, deadlines, resources, and field activities. Prepare and process invoices, purchase orders, and related documentation. Assist with payroll review, tracking, and submission. Obtain pricing and quotations for materials, equipment, tools, and services. Participate in purchasing decisions and help ensure expenditures remain within established budgets. Assist with the onboarding and orientation of new employees. Prepare and submit requests for proposals and other procurement documents. Coordinate with vendors, contractors, suppliers, and internal departments. Maintain accurate inventories of materials, tools, equipment, and supplies. Monitor stock levels and arrange replenishment as necessary. Organize departmental records, reports, contracts, and project documentation. Help identify and resolve scheduling, operational, and vendor-related issues. Ensure work is performed in accordance with organizational policies, safety requirements, and applicable regulations. Act on behalf of the Water Division Director when assigned. Perform other related duties as required. Skills, Knowledge and Expertise Previous experience in water utilities, public works, construction, infrastructure, operations, or a related field. Supervisory, project coordination, or administrative management experience. Strong organizational, time-management, and problem-solving skills. Experience with invoicing, payroll, purchasing, budgeting, and vendor management. Ability to review quotations and support purchasing and procurement decisions. Strong written and verbal communication skills. Ability to manage multiple projects and deadlines effectively. Proficiency with Microsoft Office or comparable business software. Knowledge of workplace safety practices and relevant water-industry regulations is preferred.
