BACKGROUND OneAmerica was established in 2001 by U.S. Representative Pramila Jayapal and has since grown to become a locally and nationally recognized leader in advancing immigrant, civil, and human rights. We utilize grassroots organizing, policy advocacy, and civic/electoral engagement to promote justice in three areas: immigration, education and early learning, and democracy. Our family of organizations consists of OneAmerica (501(c)3), OneAmerica Votes (501(c)4), and OneAmerica Votes Justice Fund (PAC). POSITION DESCRIPTION The WNA Ambassador Associate will provide flexible, cross-functional support across client services, event coordination, volunteer organizing, and program operations. This role is designed to ensure the effective implementation of naturalization programming by supporting client engagement, maintaining accurate data systems, and assisting with the planning and execution of community events. This position requires a high degree of flexibility as priorities and responsibilities change throughout the naturalization program cycle. During periods leading up to citizenship clinics, the role may focus heavily on outreach, intake, volunteer coordination, and event preparation. During clinic periods, the focus shifts to event execution and client support. Following clinics, responsibilities center on follow-up services, data management, reporting, and evaluation activities to ensure successful program outcomes. RESPONSIBILITIES Volunteer Recruitment & Coordination (30% | ~12 hrs./month) Lead the coordination of volunteer recruitment, scheduling, communications, and recognition. Serve as the primary point of contact for volunteers. Maintain volunteer databases and tracking systems. Support volunteer management during events, including check-in and role assignments. Applicant Support & Intake Management (25% | ~10 hrs./month) Support the WNA Civic Engagement Associate and Organizer with the following activities: Conduct applicant screenings, intake follow up, and client outreach. Manage applicant records and track event-related data. Monitor and respond to hotline and applicant inquiries. Support ongoing applicant follow-up throughout the naturalization process. Clinic & Event Logistics (25% | ~10 hrs./month) Support the WNA Administrative Associate with the planning and execution of citizenship clinics and community events. This includes: Prepare and maintain event supplies, materials, technology, and program inventory. Coordinate event logistics, including travel, lodging, catering, and venue needs. Create and distribute outreach materials, including social media content and flyers. Administrative and Program Support (20 | ~8 hrs./month) Compile documents to support reporting and invoicing processes Review messages and remove duplicates or resolved inquiries Monitor WNA inbox and respond to or flag client inquiries appropriately. Note: The distribution of responsibilities may shift throughout the year based on the naturalization program cycle. Efforts may focus on outreach, volunteer recruitment, and clinic preparation before major citizenship clinics; event coordination and client support during clinics, follow-up, reporting, and data management after clinics. Flexibility and adaptability are essential to this role. QUALIFICATIONS & ATTRIBUTES OneAmerica is seeking candidates who are passionate about our mission and are highly proactive. While no one candidate will embody all the qualifications below, our ideal candidate would bring: Bilingual in English and Spanish required Demonstrated experience providing administrative, programmatic, or community-based support (volunteer or professional experience accepted) Strong organizational skills with the ability to manage multiple tasks and priorities Excellent written and verbal communication skills Basic proficiency in Microsoft Office Experience with or willingness to learn data entry, tracking systems, and digital platforms Strong attention to detail and ability to maintain accurate records Ability to work both independently and collaboratively in fast paced environment Flexibility to support occasional evenings or weekends for events. PHYSICAL DEMANDS Ability to be on a computer for majority of the day Travel within the state (roughly 3-5 times a year if Seattle based. If located in other parts of Washington, roughly once a month) Ability to have multiple phone calls a day Ability to lift 30 lbs. when preparing for citizenship clinics. WORK ENVIRONMENT This is a hybrid position within the state of Washington and can be based out of our Seattle, Vancouver, or Yakima office.
